Take online payments by card or by bank transfer

Connect a card gateway or add your payment details so clients can pay invoices, deposits and orders online — by card, or by bank transfer with one payment code for everyone — choose how they pay, mark transfers paid and let monobank pay tips to your staff.

  1. 01

    Open the payments section

Open Integrations › Payments; only people with the workspace-settings permission, such as owners and admins, see it. Each gateway row lists the currencies it takes and what it supports, such as “Refunds” and “Recurring”. A gateway marked “Not available in your country” does not sign up businesses from the country set in Settings › General.

  2. 02

    Connect your gateway

Press “Connect” on the gateway you have a merchant account with, and enter what it asks for:

    • LiqPay: “Public key” and “Private key”
    • monobank: “Acquiring token”, and optionally “Merchant public key”
    • Fondy: “Merchant ID” and “Payment key”

    Press “Test connection”, then “Connect”.

  3. 03

    Choose the gateway that collects

With one gateway connected, it takes every payment and shows “Collecting”. With two or more, press “Use this one” on the gateway that should take payments. Until you choose, a warning at the top says so, and online payments fail.

  4. 04

    Know what the client sees

A client pays on the gateway’s own secure page, opened from a payment link, a booking deposit or an order. Setvos never sees the card number, and the money goes to your merchant account with the gateway.

  5. 05

    Add your payment details

Under “Payment details”, press “Add an account” and fill in “Account holder” exactly as your bank holds it, the “Currency”, the “IBAN” — or, with no IBAN, the “Account number” and its local bank codes — and the “Payment reference”: your own words, the same for every client. A hryvnia account also takes “EDRPOU or RNOKPP”, and its reference starts as “Payment for services, no VAT”; change it if you pay VAT. “What clients see” beside the form shows the code as you type. You can keep several accounts, in one currency too: tick “Default account in this currency”, or press “Make default”, and documents in that currency show that account. A document in a currency you hold no account in offers no transfer. A name with the apostrophe ʼ is refused under “Account holder”: retype it as ’.

  6. 06

Know which code each account gets

Setvos picks the code from the currency and the IBAN. A hryvnia account in Ukraine gets the “NBU QR”, which any Ukrainian banking app reads and which opens the bank app from a link on the client’s own phone. A euro account in the SEPA area gets the “EPC QR (GiroCode)”. A franc or euro account in Switzerland or Liechtenstein gets the “Swiss QR-bill”, which also needs the holder’s address. Any other account gets a “Details card”: no bank standard covers it, so clients copy the details. The code carries no amount. On a document, the client is shown the amount and a short reference to add to the purpose, such as AB12; on the poster, they are asked to write their name.

  7. 07

    Share the code

Each account offers “A4 poster (PDF)”, “A6 table card (PDF)”, “Code (PNG)” and “Code (SVG)”, for the desk, a mirror or a message. Tick “Show on the public page” on an account, and “Public link” gives an address to send clients: a page with every account so marked. Anyone with the link sees it, so if the account is in your own name, these are your personal details. A change to your payment details is recorded in the activity log, and the owners are told by email.

  8. 08

    Choose card, transfer or both

With a card gateway connected and payment details added, choose under “How clients pay online”: “Card or bank transfer — the client chooses”, “Card only” or “Bank transfer only”. Until you choose, clients are offered both. With only one of them, clients pay that way.

  9. 09

    Mark a transfer paid

Setvos does not read your bank account, so a transfer is never confirmed by itself. “Waiting for a bank transfer” lists the documents clients chose to pay by transfer, with the reference to look for and the amount. Once the money is in your account, press “Mark paid (bank transfer)” and enter the amount that arrived. A booking deposit, an order, a gift card or a membership takes only its full amount; an invoice takes any amount up to what is owed, and a part leaves it part-paid. The document is then paid as a card payment would mark it, once. The same button is on the visit, the invoice and the order, on the rows of gift cards and memberships, and in Setvos Business, whether or not the client chose a transfer. When you send money back from your bank, press “Returned by transfer” on that payment to record it.

  10. 10

Pay tips to your staff through monobank

monobank can pay a client’s tip straight to the person who served them. First ask monobank’s support to add your staff to your account’s tips list. Then open the person in People, choose “Tips” from the record’s menu and pick them under “In the provider’s list”.

The payment links for their visits then offer the client a tip, and monobank pays it to them. It never passes through your books.

Common questions

Which gateway can keep a client’s card on file?

LiqPay and Fondy can save a client’s card for a later charge, such as a no-show fee. monobank cannot.

In which language does the client see the payment page?

In the client’s language where the gateway allows it. Fondy opens in the client’s language, LiqPay in Ukrainian or English, and monobank follows the language of the client’s phone.

Can I change gateways later?

Yes. Connect the new one and press “Use this one” on it. A refund always goes back through the gateway that took the payment, so keep the old one connected while you may still need to refund what it took. “Disconnect” asks first; on the gateway that takes your payments now, it warns that payment links, deposits and saved cards stop working at once.

Can I choose the payment gateway on the phone?

Yes: Payments lists Fondy, LiqPay and monobank. When several are connected and none is chosen, the app says so, and “Use this one” picks the gateway that collects.

How do I refund a payment made by bank transfer?

No gateway took it, so you send the money back from your bank to the client. When such a payment is due back, the owners are told to return it themselves; once you have, press “Returned by transfer” on the payment so the record shows it.

Can I add payment details on the phone?

No: add and change them here, on the web. In Setvos Business, More → Payment details shows each account’s code and details, to show at the desk or share with the poster or the code as an image. “Mark paid (bank transfer)” is on a visit (for a class, in its “Register”), an invoice, an order, a gift card and a membership.
