Invoicing · How-to

Get an invoice paid

Send a payment link, record cash or a bank transfer, take a part payment and download the PDF from an invoice’s page.

  1. 01

    Open the invoice

Open it from Invoicing. The page shows the lines and totals, the dates, and a “Payments” card with every payment so far.

  2. 02

    Create a payment link

On a sent, overdue or partly paid invoice, press “Payment link” (on a phone, behind the ⋯ button). Setvos makes a link through your connected payment gateway for the balance due and copies it to your clipboard, ready to paste into a message. When you take bank transfers and no gateway can make the link — none is connected, several are and none is chosen, or you chose “Bank transfer only” — a hryvnia invoice’s link opens the client’s bank app with the transfer filled in; for another currency there is no link to send, and the invoice’s email and PDF carry your payment details and code. With neither, the message offers “Set up a gateway”.

  3. 03

Email the link with the invoice

Press “Resend” and then “Send invoice”. The email now carries the PDF and a line to pay online. The email shows the lines, the amount due and “Pay invoice” on your booking page’s look, with the PDF attached. An overdue reminder shows the balance and “Pay”, and asks the client to reply with the payment date only when the place has an email for clients.

  4. 04

    Let the payment arrive

When the client pays through the link, the payment appears under “Payments” and the invoice marks itself Paid, or Partly paid if something is still owed. With a cash register connected, each online payment gets its own receipt through it.

  5. 05

    Mark a transfer paid

A client paying by bank transfer is shown in the “Payments” card as “Waiting for a bank transfer”, with the reference they were asked to add and the amount. Press “Mark paid (bank transfer)” once the money is in your account, and enter the amount that arrived: the balance, or less, which leaves the invoice partly paid. It is then paid as an online payment would pay it, and this cannot be undone. The button is there whether or not the client chose a transfer. The invoice’s email and PDF carry your payment details and code, with the amount and the invoice number to add.

  6. 06

Record money that came another way

For cash, a bank transfer or a card terminal, press “Record payment” on a sent, overdue or partly paid invoice. The amount starts at the balance due. Choose the “Method” — Bank transfer, Card, Cash or Other — and press “Record payment”.

  7. 07

    Record a part payment

Type less than the balance. The invoice shows Partly paid with the balance still due, and every action stays on it for the rest: another payment, a new payment link, “Resend”. An invoice that was already overdue stays Overdue, so the reminders carry on until it is paid.

  8. 08

    Download the PDF

Press “PDF” (on a phone, behind the ⋯ button). The first time, Setvos prepares the file, which takes a few seconds, and then it downloads.

  9. 09

Keep a note of what was said

In the “Activity” card, write what happened — a call, a promise to pay — and press “Log activity”, so a colleague sees it before they chase.

Common questions

Why is there no payment link on a draft?

A link is only made for an invoice that has gone out. Send the draft first, then create the link.

Can I record more than the balance?

No. A recorded payment larger than the balance due is refused. The balance already takes off earlier payments and credit notes.

Does a payment I record get a fiscal receipt?

Yes, when a cash register is connected: each payment you record is sent to it, cash as cash and every other method as non-cash. Payments made online get their receipts the same way, one for each payment.

How do I get paid for an invoice on the phone?

Open the invoice. Send emails it to the client. “Record payment” takes the balance unless you change it, by bank, card, cash or other, and each payment gets its own receipt. A payment link shows as a QR code with Share. The PDF opens in the share sheet, to send it or print it with AirPrint. “Mark paid (bank transfer)” records a transfer once the money is in, with the amount that arrived.

Can clients pay an invoice from the app?

Yes: Me → Invoices lists them with their status and balance. Pay opens your payment page and brings the client back to the app, and the PDF opens once it is ready.
