Plan and billing: common questions

Short answers about prices, changing plans, read-only workspaces, allowances and who can pay.

Common questions

Is my price fixed?

Yes. Your licence renews at the price you bought it at for as long as it renews without a break, unless you buy a larger plan or team size, which raises it from then on; a new price list applies to new customers only. Extras renew at the price you bought them at, and a revision of their price reaches you only at a renewal at least 30 days after the notice.

Can I move from Standard to Chain in the middle of my term?

Yes. Choose Chain in the plan picker and press “Apply this licence”: the difference is paid for the days left in your term — in hryvnia by an invoice — and Chain’s modules are yours as soon as it is paid. Moving back to Standard waits for the renewal.

Why is my workspace read-only?

The line at the top of every screen and the badge beside your plan say so, for one of five reasons. The trial ended without a licence: choose one on Plan & billing — in hryvnia get its invoice, and the workspace opens the day the money arrives; in euros or dollars pay on Paddle’s page, and it opens as soon as the payment goes through. The paid term ended after a cancellation: buy a licence again the same way. A renewal invoice paid by transfer was not paid by its date: press “Pay now” for the invoice for the licence alone, and it opens the day the money arrives. A card renewal in euros or dollars failed every try over 14 days: press “Pay now” or replace the card on Plan & billing, and it opens as soon as the payment goes through. Either way it comes back with the licence alone: the extras you had bought do not come back, and you can buy them again. Or Setvos suspended it: write to support to find out why. Whichever it is, you can still see everything, and the owner can export the data or delete the workspace in Settings › Data.

Who can pay or change the plan?

Owners and admins. Everyone else can see Plan & billing but not change it.

Where do I see how much of my allowance is left?

Under “This month’s allowance” on Plan & billing. At 80% of the SMS allowance its figure turns amber, and the owners and admins are told in the app and on the phone — the owners by email too. When one is used up, a banner says so and offers a pack or a larger plan; for SMS, the owners get an email as well, and a pack can be bought for this month only.

Do texts sent through our own SMS gateway use the allowance?

No. Only texts sent on the Setvos account count; the SMS tile says how many more went through your own gateway.

Does switching modules off lower the price?

No. The price depends on the edition, the number of employees and the term, plus any extras you buy.

What counts as one SMS?

A booking confirmation, reminder or cancellation, an automatic message and a text you type to one client count one SMS each, however long. A campaign or broadcast text counts one SMS for every part it goes out in: 70 characters, or 160 in plain Latin letters, with the unsubscribe link, and the campaign editor and the broadcast counter show the count before you send. Texts on your own SMS gateway, Telegram and WhatsApp messages do not count.

Standard with extras, or Chain?

If you hold both the extra place and the “Time off, reviews & hiring” group, Plan & billing compares your renewal with Chain at your team size, whichever way the difference points, and lists what Chain adds: unlimited places, reports across them, API keys and larger allowances. Up to three people Chain usually costs less; from four it costs more and carries more. Moving is your choice: Chain is paid for the days left, and the place and the group run to the renewal and are not renewed.

If I stop for the season, do I keep my price?

Yes, until your data is erased. Cancel, and when the paid term ends the workspace waits read-only for 90 days; we email you 14 and 3 days before the data is deleted. Buy the same plan and team size again before then, on any term, and you pay the price you had — never more than today’s list. Extras you had are not carried over; add them again if you need them.

Can months be added to my licence?

Yes. A month is added to your paid term for each business that buys a licence through your link or code, and one to your first paid term if another business invited you — through its link, its code or its booking page. Support can also add days. Each moves your licence’s end date on Plan & billing; nothing is charged for the added time.

Who takes card payments in euros and dollars?

Paddle, our reseller: it takes the card on its own page, adds VAT where due — a business with a valid VAT number is reverse-charged — and issues the invoice, and it retries a declined euro or dollar card on its own schedule. A licence in hryvnia is paid by bank transfer, never by card.

Can I pay in dollars by bank transfer?

Yes, if your business is in the United Kingdom, Switzerland, Moldova, Georgia, Albania, Bosnia and Herzegovina, North Macedonia or Serbia: save its VAT or company registration number under “Business number” on Plan & billing, choose a 12- or 24-month term and press “Pay by bank transfer”. We check the number’s format, not a register. The invoice adds no VAT: the customer accounts for any VAT due in their country. A private person pays by card, where card payments in dollars are open.

What does “Renewal refunded” mean?

A renewal you paid in advance was refunded in full, so it does not start and nothing renews the licence. Plan & billing reads “Renewal refunded — the licence ends on …” with the last day of the term you are in, which you had already paid for. Everything works as it does until then; after that day the workspace is read-only, as when a cancelled licence ends.
