Connect a shared mailbox to the Inbox

Bring your business email address into the Inbox, so your team reads and answers client mail in one place, and replies go out from your own address.

  1. 01

    Get your mailbox settings

You need the shared address, its password, and its incoming (IMAP) and outgoing (SMTP) servers — your mail provider publishes them. Gmail and Microsoft need an app password rather than the account’s usual password; your mail provider’s help explains how to make one.

  2. 02

    Connect it

Open Integrations › Mailbox and press “Connect” on “Mailbox (IMAP)”. Fill in “Email address”, “IMAP server”, “Password” and “SMTP server”. “IMAP port” and “SMTP port” are optional; the fields show the usual values.

  3. 03

    Test it

Press “Test connection”. When the mailbox opens, the check says how many messages it found. Then press “Connect”.

  4. 04

Read and answer in the Inbox

New mail is fetched every two minutes and appears in Inbox; if the conversation is assigned to someone, they get a “New message” notification. Replies go out from your address, so a client’s answer comes back to the same conversation.

Common questions

Can I connect more than one mailbox?

No, one per workspace. Use a shared address the whole team answers from.

Can I connect the mailbox on the phone?

No: the mailbox is set up on the web. The phone shows whether it is connected and when it was last checked.
