Groups for a term, a register, and the parent who pays.
Robotics on Tuesdays, chess on Thursdays, school prep on Saturday mornings: a learning centre runs groups by age and level, and every child in them has a parent who pays and wants to know how the term is going.

What a kids’ learning centre switches on first
Timetable
Per teacher, per room, per group, published ahead.
Course billing
A quote for the course, an invoice when accepted, and a payment link on it.
The register
Present, no-show or excused at each lesson, on the phone or at the desk; a membership counts down as children come.
Student records
Level in a custom field, notes, and who pays the bill.
Payments
Card online, cash recorded at the desk, and overdue invoices chased automatically.

Six things that only matter in a kids’ learning centre
Groups on a timetable
Each group a class with its places, its teacher and its room, on its own weekday and hour; its lessons open months ahead, so a parent can book a trial lesson from your link.
Enrolled for the term
A child enrolled once, between two days, has a seat in every lesson of the group; a lesson that is already full is skipped and shown, never squeezed in.
The register on the phone
Present, no-show or excused for each child; closing it marks the lesson done, and a teacher paid per child is paid for everyone but the excused.
A monthly fee per place
A monthly invoice emailed to the parent with a link to pay through your own gateway, or a pack of lessons that counts down in the register.
The parent pays, the child comes
Each child a record under the parent: their own groups, seats, pack and signed forms, and the parent on every invoice.
Forms signed by the parent
Your own forms — consent to photos, who may collect the child — signed by the parent on the child’s behalf with a typed name; the child’s place waits for the signature.
Group lessons with a capacity
A group of eight is a class with eight spots, shown live on the booking page.
Overdue invoices chase themselves
A reminder goes out on its own, and the payment link closes the invoice when it is paid.
Children under the parent
Each child a record under the parent: their own places, seats and membership, and the parent on every invoice.
Your first week on Setvos
Add the groups
Each group a class with its places, its teacher and its room, and its weekday and hour as a timetable.
Enrol the children
Each child under their parent, enrolled in a group for the term with the monthly fee or the pack that pays for the place.
Ask for the forms
The consent your groups need, attached to their services and signed by each parent before the first lesson.
Keep the register
Teachers mark each lesson on the phone and close it; the pack counts down and pay is counted from it.
A 5-person school pays €50/mo
5 employees on Standard, 12-month term: €68/mo list, €694 on day 7, and 14 months of service (12 paid + 2 bonus) — €50 effective per month. Prices exclude tax. VAT or sales tax is added at checkout where it is due; an EU business with a valid VAT number pays no VAT and accounts for it under the reverse charge.
Kids’ clubs and learning centres: questions
Can a child be in two groups?
Yes: each place is its own enrolment, with its own seats, its own fee or pack and its own line in the register.
How do we move a child to another group?
Transfer the place: the new group starts on the day you choose, the old one ends the day before, and the fee or the pack moves with it.
What does a parent get when a child is enrolled?
One email and one text with the group, the weekday and the hour. If a pack pays for the place, the email carries its link to pay; a monthly fee’s invoices follow by email each month.
Education questions
What happens if a student misses a lesson?
Mark them excused in the register and nothing is used, or no-show, which uses the lesson as a held seat does. “Give a make-up” adds a lesson back to the membership, and the history stays on the child’s record.
Can a parent pay for two children?
Yes: each child is a record under the parent, with their own places and membership, and the parent pays — a membership per child, or a monthly invoice per place.
Can teachers see only their own timetable?
Record scope is per role, so a teacher sees their own lessons and a coordinator sees the school.

Term enrolment without a spreadsheet
A group that meets every Tuesday from September to May is one decision a parent makes once. Here is how to record it once too — and what happens when a lesson is full, a child is away or moves up a level.

Two children, one parent: who comes and who pays
A family with two children in two groups is one person to bill and two to teach. Here is how to keep them apart where they must be, and together where it saves the parent a question.

The register that grants the make-up
Present, no-show, excused: three marks a teacher makes in seconds decide what a pack loses, what a teacher earns and which absences are made up.
Guide
Run classes: a timetable, enrolment and the register
Give a group class a timetable that opens its sessions ahead, enrol a client or their child in every session, keep the register, and take a membership or a monthly fee for the place.
Guide
Keep a client’s children, pets and vehicles
Give each child, pet or car its own record under the client who books for it, so every visit, seat, membership and signature says which one it was for.
Guide
Ask clients to agree to a consent form
Write the forms clients agree to before a service, such as a patch test or a health questionnaire, attach them to services, and record a form signed at the desk.
