Invoices: bill your customers and see who owes you
What the invoice screens are for, how an invoice moves from draft to paid, and what to set up before you send the first one.
The list and its numbers
Invoicing lists every invoice with its customer, issue and due dates, total, balance and status. The tiles above it count invoices only — not quotes, credit notes or till sales — and add up what is still owed after part payments and credit notes, in all and on overdue invoices, and what has been collected. Search by customer or by number: “7” finds every document numbered 7, and “QUO-0007” finds quote 7 only. Filter by status — Draft, Sent, Overdue, Partly paid, Paid or Void, and, while quotes are listed, Accepted, Declined or Expired — and, if your workspace has custom fields on invoices, by those too.
Invoices, quotes, sales and credit notes
The first filter chooses which documents you see. “Invoices” is the default. “Quotes” are price offers with their own QUO numbers. “Sales” are the documents made at the till when a visit is paid for. “Credit notes” reduce or refund an invoice. “All” shows everything. Each kind has its own number series.
From draft to paid
Every invoice starts as a draft you can still change. Sending it emails the PDF to the customer and marks it Sent. It is then paid online through a payment link, or you record the money yourself; a part payment makes it Partly paid. A sent or partly paid invoice past its due date turns Overdue, and Setvos emails the customer up to three reminders, at least a day apart, asking for what is still owed, if they have an email address. An invoice with nothing left to pay gets no reminder.
The rest of the money
“New quote” sits beside “New invoice”. The buttons above the list lead to “Recurring invoices”, for bills that repeat, and to Invoicing › Books, where you record expenses, keep the cash book and read your profit. If your workspace takes bookings or has a cash register connected, a “Day close” button leads to the till’s day and your fiscal receipts.
Set up before your first invoice
- Your seller details — legal name, tax ID, IBAN — in Settings › General, so they print on every invoice. An owner or admin fills them in.
- A payment gateway in Integrations › Payments, if customers should pay by card online.
- A cash register (ПРРО) in Integrations › Fiscalization, if you need fiscal receipts.

Create and send an invoice
Make a draft invoice from your products or typed lines, check it, and email it to the customer as a PDF.
Get an invoice paid
Send a payment link, record cash or a bank transfer, take a part payment and download the PDF from an invoice’s page.
Close the day and issue fiscal receipts
Close the till’s day with the cash you counted, connect your ПРРО, see every receipt it issued, retry one that failed and run the shift reports.
Record expenses and keep the cash book
Use the books to record what the business spends and to keep each location’s cash drawer in step.
Take online payments by card or by bank transfer
Connect a card gateway or add your payment details so clients can pay invoices, deposits and orders online — by card, or by bank transfer with one payment code for everyone — choose how they pay, mark transfers paid and let monobank pay tips to your staff.
Set your business details: country, time zone, currency and language
Tell Setvos what kind of business this is and where it works, and add the seller details that your invoices and quotes carry.
