Invoicing · How-to

Bill the same customer on a schedule

Set up a recurring invoice issued every one, three, six or twelve months, and pause, run early or delete it.

  1. 01

    Open recurring invoices

In Invoicing, press “Recurring invoices”. The list shows each schedule with its customer, what it bills per run, the next date, how many it has issued, and whether it is active or paused.

  2. 02

    Create a schedule

Press “New recurring invoice”. Give it a “Name” you will recognise and pick the “Customer” — type part of a name, phone or email to find them. The “Currency” is your workspace’s unless you choose another. Choose “Every” 1, 3, 6 or 12 months, and set “Due within (days)” — 14 unless you change it.

  3. 03

    Add the lines

Under “Line”, type each line’s name, quantity and unit price; “Add line” adds another. A line needs a price to count. Press “Save”.

  4. 04

    Know when it runs

The first invoice is issued within the hour, and the next ones on the same date each period. Each run makes a draft invoice in Invoicing with its due date set.

  5. 05

    Send what it issues

Open each new draft, check it, and press “Send”, as with any invoice.

  6. 06

    Pause, run early or delete

Use the small buttons at the end of a row; hover over one to see its name. “Issue now” makes the next invoice straight away and moves the next date on by one period, so it replaces that run rather than adding one. “Pause” stops the schedule until you press “Resume”. “Delete” asks first, then removes the schedule and keeps every invoice it already issued.

Common questions

Can I change the lines of a schedule?

Not on this screen. Delete the schedule and create a new one; the invoices it already issued stay.

Does a recurring invoice go to the client by itself?

No. Each run makes a draft, so somebody checks it before it goes out.

Which currency does a recurring invoice use?

The one chosen in “Currency” when the schedule was made — your workspace’s, unless you picked another. Every invoice it issues is in that currency.

Can I manage recurring invoices on the phone?

Yes. The list shows each schedule’s customer, how often it runs, the amount, the next date, Active or Paused and how many invoices it issued. “Issue now” asks first and creates the next invoice as a draft. Pause and resume a schedule, change it, or clear its end date.
