Invoices: questions people ask
Short answers about editing, reminders, quotes, gateways, tax and deleting invoices.
Common questions
- Can I edit an invoice after sending it?
No, only drafts can be edited. Correct a sent invoice with a credit note, or void it and create a new one.
- How do reminders work?
A sent or partly paid invoice past its due date turns Overdue within the hour. Setvos then emails the client up to three reminders, at least a day apart, as long as they have an email address. Each asks for what is still owed after payments and credit notes, and an invoice with nothing left to pay gets none. The schedule is the same for everyone.
- Can I send a quote before an invoice?
Yes. “New quote” on Invoicing makes a quote with its own QUO number and a “Valid until” date. “Send” on the quote emails it with its PDF and the date it is valid until, and asks for no payment. “Accept”, “Decline” and “Turn into invoice” record the answer; turning it into an invoice makes a new draft and keeps the quote.
- Which payment gateways can I use?
Fondy, LiqPay and monobank, connected in Integrations › Payments. With more than one connected, you choose there which one takes payments.
- Does Setvos add VAT to my invoices?
Only the rates you type — the invoice’s “Tax %” and any line’s own rate. Whether the PDF shows a VAT line follows the tax status in your seller details in Settings › General.
- What are the “Sales” in the list?
The documents the till makes when a visit is paid for, numbered SALE. They are created at checkout, not on this screen, and a credit note can be issued against one.
- Why can I not delete or void an invoice?
Only drafts can be deleted; anything that has gone out is voided or credited instead, and a paid invoice can only be credited. Deleting and voiding both need a role that may delete in Invoicing, which members do not have.

Invoices: bill your customers and see who owes you
What the invoice screens are for, how an invoice moves from draft to paid, and what to set up before you send the first one.
Create and send an invoice
Make a draft invoice from your products or typed lines, check it, and email it to the customer as a PDF.
Make a quote and turn it into an invoice
Offer a price before you bill: make a quote, give it to the customer, record their answer and turn it into an invoice.
Get an invoice paid
Send a payment link, record cash or a bank transfer, take a part payment and download the PDF from an invoice’s page.
Correct an invoice: credit note, void or delete
Reduce what a sent invoice asks for with a credit note, send money back, cancel an invoice with Void, or delete a draft.
Take payment for a visit at the till
Close a visit and take its money in one step: add products, apply a membership, a promo code or a discount, split the payment across cash, card, gift card, points or a payment link, and book the client’s next visit.
