Correct an invoice: credit note, void or delete
Reduce what a sent invoice asks for with a credit note, send money back, cancel an invoice with Void, or delete a draft.
Pick the right fix
- A draft: change it with “Edit”, or remove it with “Delete”.
- A sent invoice that should never have gone out: “Void”.
- A sent or paid invoice that asked for too much, or goods that came back: a credit note.
Issue a credit note
On a sent, overdue, partly paid or paid invoice, or a till sale, press “Credit note”. Write the “Reason” and set the “Amount”: the window starts it at the most you can still credit, and a smaller amount is a part credit. On a taxed invoice the amount includes the tax — it is what the customer gets back. Press “Issue credit note”.
Send the money back if you need to
On an invoice that has payments, tick “Send the money back too”. The refund starts with the latest payment and moves to older ones for the rest, each the way it came in: money paid online goes back through the gateway that took it, and money recorded by hand, such as cash or a transfer, you pay back yourself — the credit note is the record of it. A payment never gives back more than it took, so a later credit note does not return the same money twice. Gift-card and points payments are not paid back. With a cash register connected, each payment paid back gets its own return receipt.
Check both documents
The credit note opens with its own number, CRN-0001 and so on. The invoice keeps its number and lines, and its balance drops by the credit note’s total. Find credit notes by choosing “Credit notes” in the first filter of Invoicing.
Void an invoice
On a draft, sent, overdue or partly paid invoice, press “Void” and confirm with “Void invoice”. The invoice stays on record but can no longer be sent, paid or credited. This cannot be undone.
Delete a draft
Press “Delete” on a draft and confirm. Drafts are removed for good.
“Void” and “Delete” take a bill off the books, so they appear only for roles that may delete in Invoicing; members cannot.
Common questions
- Can I credit more than the invoice was for?
No. The credit is capped at the invoice total less earlier credit notes. A fully paid invoice can still be credited in full, tax included.
- How do I cancel a paid invoice?
A paid invoice cannot be voided. Issue a credit note for the whole amount the window suggests, and tick “Send the money back too” if the client should get it back.
- Can I correct an invoice on the phone?
Yes. A credit note takes a reason and an amount up to the invoice’s total, and “Send the money back too” returns it through the payments, newest first; gift cards and points are not returned. Void is there only for people allowed to delete invoices, and it asks first. A draft can be deleted.
