Close the day and issue fiscal receipts
Close the till’s day with the cash you counted, connect your ПРРО, see every receipt it issued, retry one that failed and run the shift reports.
Open Day close
Open Invoicing › Day close, or press “Day close” above the invoices list; the button is there when your workspace takes bookings or has a cash register connected. The page puts the till’s day first, then the cash register shift, then the receipts.
Close the till’s day
In “The till”, pick the “Place” and the date. Compare “Cash expected” with the cash in the drawer, type it in “Cash counted”, add a “Reason” if the two differ, and press “Close the day”. Each place closes a day once, and the cash you counted becomes that day’s till takings in the cash book in Invoicing › Books. The till’s day needs no cash register.
Connect your cash register
Receipts are issued by the ПРРО you connect, such as Checkbox, under your own tax number — Setvos does not issue them itself. An owner or admin connects it in Integrations › Fiscalization. Until one is connected, no receipt is issued.
Let receipts happen on their own
Whenever money is taken — each online payment, a sale at the till, an order marked paid, or a payment recorded on an invoice — Setvos asks your cash register for a receipt. An invoice paid in two instalments gets two receipts. Money going back — a refund through a gateway, a credit note with “Send the money back too”, a refunded return — gets a return receipt of its own. So does a deposit you send back by transfer. If all of the money goes back before the cash register has taken the sale receipt, the sale receipt is withdrawn instead and neither is filed; if only part goes back, the return follows the sale. If no shift is open, one is opened first. A client’s emailed receipt names the fiscal receipt’s number and links to the tax service’s check only once the cash register has issued it; until then it carries no such line.
Check the receipts
The list shows each receipt’s fiscal code (or “Not registered yet”), where the money came from — such as “Invoice”, “Order”, “Visit at the till” or “Online payment” — the amount and the status: Waiting, Registered, Failed or Withdrawn — a sale receipt whose money all went back before it was filed, which is never filed. “Tax office” opens a registered receipt on the tax office’s site.
Retry a failed receipt
A receipt the cash register did not take is tried again every ten minutes, up to eight attempts in all. After that it shows as Failed: fix the cause, often the cash register’s connection, and press “Try again”. “Try again” also works on a receipt that is still waiting, never on a withdrawn one.
Open, check and close the shift
The “Cash register shift” card says whether a shift is open. “Open shift” starts one by hand, and while it is open “X-report” shows its totals so far. At the end of the day, press “Close shift (Z-report)”; the report appears exactly as your cash register produced it. Opening and closing a shift is for owners, admins and managers by default.
Common questions
- What if nobody closes the shift?
Setvos closes a shift that has been open for 23 hours by itself, so the Z-report still happens. Closing it yourself at the end of the day is still the better habit.
- Why is there no “Day close” button on the invoices list?
It appears when your workspace takes bookings, because the till belongs to a place, or has a cash register connected. With neither, there is no day to close. The page itself opens at Invoicing › Day close either way.
- Does Setvos send receipts to the tax office?
No. The ПРРО you connect registers each receipt; Setvos sends it the payment details and keeps the list of what it answered.
- How do I know the cash register issued the receipt for a sale at the till?
After a checkout the line under the sale first says the receipt was handed to your cash register (ПРРО), then, within a few seconds, “Receipt issued by the cash register” with its fiscal number once it answers. If it does not change, open the cash register screen to see why.
- What does the phone say about a sale’s receipt?
After a sale at the phone’s till or with Scan & sell, one line says what happened: “Sent to the cash register” while it waits, then that the cash register issued it, with its fiscal number; that nothing was taken at the till, so the deposit or the link gets its receipt when it is paid; or that no cash register is connected, so there is no receipt. The phone never shows a made-up number. If a receipt fails, the cash register tries again, and the fiscal screen shows it.
- Can I run the shift and close the day on the phone?
Yes. The fiscal screen in Setvos Business shows the cash register, whether its shift is open and for how long; past 23 hours it asks you to close it today. Opening the shift and closing it with the Z-report need invoicing settings; the X-report needs only view access. A report opens as the cash register printed it, to share or print. Below are the receipts, with Waiting and Failed counts, and “Try again” sends a failed one again. Close the day takes the place and the date, shows the day’s figures, and asks for the cash you counted and, if it does not match, a reason; once closed, the figures are locked for that place and date.
