Use the time clock

Clock yourself in and out, see who is in at each place on any day, correct an entry or add a missing one, and export the hours.

  1. 01

    Open the time clock

On People, press “Time clock”. At the top is “My time clock”, your own; below it “My payslips” when Payroll is on, then the team's day.

  2. 02

    Clock yourself in and out

Press “Clock in” when you start, “Break” and “End break” around a break, and “Clock out” when you finish. “My time clock” shows today's and this week's hours. It needs an employee record linked to your login.

  3. 03

Clock in with the geofence on

With “Geofence” on, pressing “Clock in” at a place with a pin on the map asks your browser for your location, once. If you do not share it, you are still clocked in, and your manager sees “Location not shared”. At a place without a pin nothing is asked. On a day the rota has you on no shift, and you work at more than one place, first choose the place under “Where are you working?”.

  4. 04

    See who is in

Pick a day and, when Bookings is on, a place. The tiles count who is “In”, “On break” and “Out”. Each row shows the person's rostered shift (or “Not rostered today”), their status and “Worked / rostered” hours.

  5. 05

    Correct an entry

If someone forgot to clock out or clocked at the wrong time, press “Correct” on their row, set “Clock-in” and “Clock-out”, give a “Reason” and press “Save correction”. It changes their last entry of that day, the row is marked “Corrected”, and the reason is recorded on Settings › Audit log. Correcting needs a role that can edit People.

  6. 06

    Add a missing entry

If someone worked a shift and never clocked it, pick that day, press “Add entry” on their row, set “Clock-in”, “Clock-out”, the “Place” (when Bookings is on) and a “Reason”, and press “Add entry”. An entry in the future, or one that overlaps another of theirs, is refused. It is marked “Added by a manager”, and the reason is recorded on Settings › Audit log. Adding needs a role that can edit People.

  7. 07

    Check auto-closed shifts

An open shift longer than the maximum shift closes itself at that length and is marked “Auto-closed”. Check those rows: the real finish time is usually earlier, and hourly pay counts what the clock says.

  8. 08

    Change the clock settings

“Time clock settings” holds “Maximum shift (hours)”, 14 unless you change it, and “Geofence”: with it on, a clock-in at a place with a pin is checked against the “Radius (m)” of the place, using the location the phone or browser shares. Someone who does not share it can still clock in, marked “Location not shared”, and places without a pin are not checked. Press “Save settings”. The button is there only if your role can change People settings.

  9. 09

    Export the hours

“Export” downloads a CSV of the chosen day and the 30 days before it, with breaks, rostered minutes, corrections and their reasons. The button is there only if your role can export People.

Common questions

Why is someone missing from the list?

Only records linked to a login appear, because only a linked person can clock in, and offboarded people are left out. Link their record and they show up.

Why is a clock-in refused with the geofence on?

Only when the location you shared is outside the radius of the place: the place of your shift today, or the one you chose. The message says how far you are. Not sharing a location is not a refusal: you are clocked in, marked “Location not shared”. A place without a pin on the map is not checked.

Someone forgot to clock in at all. Can I add the entry?

Yes. Pick the day on the time clock and press “Add entry” on their row, with the times and a reason. It matters for hourly pay: once someone uses the clock in a pay period, only clocked time is paid, and an added entry counts like any other.

Do corrections change pay?

Yes, for anyone paid by the hour: the next run, or a rebuild of a draft run, counts corrected and added entries. An approved run keeps what it paid, and Payroll › Days shows the difference.

How do I clock in on the phone?

In My work, press “Clock in”; Start break, End break and Clock out follow. The place is today’s shift’s, the only place, or one you choose. The phone asks for your location only at a place where the workspace switched the geofence on and the place has a pin, and it reads it once. “Not now”, or a refused permission, still clocks you in, and your manager sees “location not shared”; sharing your location from outside the radius is refused. Nothing is clocked offline, and today and this week count your salon’s day. Without a linked employee record, Clock in is off.

Can managers see the time clock on the phone?

Yes: the Time clock board has place chips and a date, the In, On break and Out counts, and each person’s shift or “no rota”, status and worked time against the rota, with flags: auto-closed, corrected, added by a manager and location not shared. Correct an entry, or add a missing one, with a required reason. Time clock settings hold the longest shift, the geofence and its radius. Export CSV goes to the share sheet, counts the salon’s days and carries the two flags as columns.
