People: questions and answers

Short answers about who can see records and pay, deleting and offboarding, statuses, and why People might not be available.

Common questions

Who can see employee records?

Anyone whose role includes People; the built-in Manager and Member roles can see, add and edit records. Pay is kept apart: the “Compensation” tab and the payroll screens need Payroll, which only the owner and admins have unless you give it to a role of your own on Settings › Roles & permissions. Without it nobody sees a colleague's pay, and a salary can be typed into “Add employee” only by someone who can edit Payroll.

Can I delete an employee?

No. Set their status to “Offboarded” in “Edit profile”. Their record, payslips and history stay.

Why is a new hire's status Onboarding?

A record whose start date is in the future starts as Onboarding, and so does a hire from Recruitment, which starts today. It becomes Active when their onboarding checklist is finished, or when you change the status in “Edit profile”.

Why does someone show On leave?

While an approved leave covers today, an Active person shows On leave, and returns to Active when the leave ends. Setvos updates it by itself.

Why can't I switch People on?

People comes with every licence. An owner or admin switches it on in Marketplace; if you cannot, your role does not change modules. See your plan on Plan & billing.

Can staff clock in without seeing other people's records?

Not in the web app: the time clock sits under People, so it needs a role that can see People. Give such a role only to people who should see the team's records.
