Run payroll for a month
Create a draft run for a month, check and adjust its payslips, then approve it and mark it paid.
Create the run
On Payroll, press “New run”. Pick the “Month” and the “Part”: “Next by cadence” follows your payroll settings, or choose “Whole month”, “Advance” or “Remainder”. Press “New run”, and the draft opens on its own page. If nobody employed that month has pay set up, the run is refused and says so.
Know what each part covers
An advance covers the 1st to the 15th and is due on the 20th. A remainder covers the whole month, subtracts the advance's net pay and is due on the 5th of the next month. A whole-month run is due on the month's last day.
A month is paid either whole or as an advance and a remainder, never both. Setvos refuses a whole-month run for a month that already has an advance or a remainder, and an advance or a remainder for a month that has a whole-month run; the message names the run that is there.
Check the payslips
The run lists a payslip per person with hours, base pay, commission, gross, deductions and net. “Left out of this run” names anyone skipped and why: no pay scheme (or one that pays nothing), or paid in another currency.
Fix the facts and rebuild
If hours, sales, leave or a pay scheme were wrong, correct them where they live and press “Rebuild”. The draft is worked out again from today's facts and keeps the bonuses and deductions you added.
Add bonuses and deductions
Click a payslip, press “Add line”, type a label and an amount (negative for a deduction) and press “Save adjustments”.
Approve the run
Press “Approve run”. An approved run can no longer be edited, rebuilt or deleted, and each person whose record is linked to a login sees their payslip under “My payslips”.
Mark it paid
When the money has gone out, press “Mark paid”. This records the payment; Setvos does not send it.
Find runs and delete a wrong draft
Payroll › Runs lists every run, newest month first, with its status, payslips, gross, net and pay day; click one to open it. On a draft, “Delete draft” asks first, then removes it and its payslips. Approved and paid runs stay.
Common questions
- Why can't I create a second run for the same month?
A month has either one whole-month run, or one advance and one remainder. Open the run that is there from Payroll › Runs. To pay the month the other way, delete what is there while it is still a draft (a remainder before its advance), then create the new run.
- Who can create, approve and delete runs?
Creating needs a role that can create in Payroll; rebuilding, adding bonuses, approving and marking paid a role that can edit it; deleting a role that can delete. By default only the owner and admins have Payroll.
- What if the facts change after I approve?
The approved run keeps what it paid. The Days tab shows the difference as “Differs from the run by …”, and you can settle it with a bonus or deduction in the next run.
- Can I run payroll on the phone?
Yes, if you may see payroll; it is never shown to a member or a manager. Payroll opens on an overview, then Runs: “New run” takes a month and a part — next by cadence, the whole month, the advance or the remainder. A draft run can be rebuilt, deleted or approved — staff see their payslips once it is approved — and an approved run marked paid. An advance with a remainder built on it can no longer change. On a draft, a payslip takes adjustments with a label and an amount; the PDF and the run’s CSV go to the share sheet.
