One pipeline from enquiry to the balance invoice.
A wedding enquiry in March, a kids’ party next Saturday, two animators on the same afternoon. The prepayment is in one chat, the balance in another, and nobody remembers who was told what.

What an event business switches on first
Classes with seats
An open class with its capacity, places left shown live and a waitlist offered the freed seat in one tap.
Private sessions
A birthday or a team evening booked as one session, with a deposit or the full price paid online.
Gift certificates
Bought on your booking page and paid online, redeemed at checkout.
Event pipelines
Each enquiry a deal on your stages, with a message to the client when it reaches the one you choose.
Quotes and invoices
A quote, a prepayment invoice and the balance invoice, each paid by link.
The booking page
What your client sees
Screenshots of a sample salon’s page. Yours shows your services, prices and photos.
Six things that only matter in an event business
Every event a deal
Enquiry, quote sent, prepaid, confirmed, done — stages you name, with the date, the budget and the owner on the card.
A message at the right stage
When an event reaches the stage you choose, the client gets the message you wrote for it, without anyone remembering to send it.
Quote, prepayment, balance
A quote the client agrees to, a prepayment invoice paid by link, and the balance invoice after the event.
Animators in their own diaries
A party booked as a service that needs one or two hosts, blocking each of their diaries, so nobody is sent to two places at once.
Packages
A party package that books as its parts — the host, the face painter, the room — each in its own diary.
Reminders that bring people in
A reminder before every class and session on Telegram first, then SMS.
Hosts paid per head
A host’s pay set per guest in each class they ran, beside hourly pay and commission.
Packages
A party package that books as its parts — the host, the room and the extras — each in its own diary.
Your first week on Setvos
Name the pipeline’s stages
From the first enquiry to the event done, and the open enquiries moved onto it.
Write the stage message
Choose the one stage where silence costs most — usually when the prepayment is in — and write what the client hears when an event reaches it.
Add the hosts and the services
Each animator as a member with their diary, and each party as a service with the number of hosts it needs.
Send the first quote
From the client’s card, then the prepayment invoice by link when they agree.
A 3-person studio pays €31/mo
3 employees on Standard, 12-month term: €42/mo list, €428 on day 7, and 14 months of service (12 paid + 2 bonus) — €31 effective per month. Prices exclude tax. VAT or sales tax is added at checkout where it is due; an EU business with a valid VAT number pays no VAT and accounts for it under the reverse charge.
Events and parties: questions
Is the invoice attached to the event?
The quote and the invoices sit on the client’s record beside the deal; an invoice is not attached to the deal itself.
Can parents book a party themselves?
Yes: publish the party services on your booking page with a deposit, and the booking lands in the hosts’ diaries.
How do I see what is on this weekend?
The pipeline shows every event with its expected date, and each host’s diary shows the parties they are booked for.
Events & leisure questions
Can a guest pay for a place in an open class online?
Yes, when the studio takes a deposit or the full price: each place is paid when it is booked, on the studio’s own payment gateway, and the places of one booking are paid together.
Can a gift certificate pay for a place in an open class?
Yes: the place is checked out at the till like any visit, and the certificate pays for it there.
Is a contract signed in the app?
No: an event is agreed by quote and prepayment, and a signed contract can be kept as a file on the client’s card.

One pipeline from enquiry to the balance invoice
An event business runs on dozens of half-finished conversations: who has paid the deposit, who is waiting for a quote, whose party is on Saturday. Here is how to put all of them on one board.
Guide
Set up your pipelines and their stages
Rename, reorder, add and remove the stages your deals move through, decide which stages close a deal, and choose the default pipeline.
Guide
Switch on automatic messages
Turn on the welcome, win-back, birthday, review request, unfinished booking, deal stage, overdue invoice and missed-call messages, and change what each one says.
Features for Events & leisure
Move your bookings off paper, WhatsApp and three spreadsheets.
Bring your clients, services and past visits in from a spreadsheet or your old system’s export, with a preview before anything is written — and help in chat, in six languages, whenever you want it. Most studios are live the same day.
