Set up your pipelines and their stages

Rename, reorder, add and remove the stages your deals move through, decide which stages close a deal, and choose the default pipeline.

  1. 01

    Open the pipelines

Open Settings › Pipelines; it needs an owner or admin. Each pipeline is a card, and the one marked “Default” is the one the board opens on.

  2. 02

    Rename a stage

Click a stage’s name, type the new one and click away; it saves by itself. The column is renamed everywhere at once, including for deals already in it, so use the words your team says out loud. Deal timelines keep the names the stages had when a deal moved.

  3. 03

    Decide what a stage means

The menu beside each name says “Open”, “Won” or “Lost”. Won and lost stages close a deal, and every pipeline needs at least one won and one lost stage, so a change that would leave none is refused. Changing a stage’s meaning changes the deals already in it at once: switched to “Won”, they become won deals and their owners are told; switched to “Open”, they are open again. For an open stage, the number box beside the menu holds the chance of winning, in percent.

  4. 04

    Reorder the stages

Use the up and down arrows at the left of a stage. The board shows the columns in this order.

  5. 05

    Add a stage

Type a name in “New stage” and press “Add stage”. A new stage is open and joins the end of the open stages, before the won and lost ones.

  6. 06

    Remove a stage

Press the bin at the end of its row and confirm. Its deals move to the first open stage of the pipeline, as open deals. The removal is refused if no other open stage is left for them, or if it would leave the pipeline without a won or a lost stage.

  7. 07

Add a pipeline and choose the default

Under “New pipeline”, type a “Pipeline name” and press “Add”; it starts with the stages suggested for your type of business. Rename a pipeline by clicking its name. “Make default” on another pipeline makes it the one the board opens on. The bin on a pipeline’s card deletes it after you confirm, but never the default pipeline, and never one that still holds deals: move those to another pipeline first, from each deal’s “Edit”.

  8. 08

    Set the hourly rates

Below the pipelines, “Hourly rates” holds what an hour of each member is billed at, for the time they log on deals, clients and companies. Leave a field empty for no rate, and press “Save”.

Common questions

Why can’t I open this page?

Pipelines are part of workspace settings, which only an owner or admin can open.

Can I edit pipelines on the phone?

Yes, under More → CRM → Pipelines, or Pipelines under ⋯ in Deals. Rename a pipeline, “Make default”, add a “New pipeline” or delete one; a pipeline that still holds deals, or the default one, is not deleted. Stages can be renamed, set to Open, Won or Lost, given a probability when open, reordered by their handle or with “Move up” and “Move down”, added and deleted. A deleted stage’s deals move to the first open stage.
