Classes, memberships and coaches paid per head.

Kids at five, adults at seven, sparring on Saturday — every class with its own mat space. Members pay by the month, and coaches want to know what a full class earns them.

What a martial arts club switches on first

01

Group classes

A service with a capacity on a timetable that opens its sessions ahead: drop-ins take seats, and members are enrolled for the term.

02

Memberships

Monthly passes paid through your own gateway: on the client’s card when they choose it at purchase, by a payment link otherwise.

03

Waitlist

Offer a freed spot to the next person in one tap.

04

Trainer diaries

Each trainer’s own bookable hours and their own column in the grid.

05

Check-in and the register

A check-in code on every booking and seat, a member’s pass scanned at the door, and a register the trainer keeps on the phone: present, no-show or excused.

Six things that only matter in a martial arts club

Classes with seats

Each class a group session with its capacity, spots left shown live on the booking page, and a waitlist you offer a freed spot to in one tap.

Memberships that renew on the card

A monthly membership or a pack of visits, renewing on the member’s saved card when they choose it, by a payment link otherwise.

Make-up credits

A missed class given back as a visit on the member’s pack by the desk, with the reason kept, so a cancellation is not lost money for them.

Personal training one-to-one

A private session in the coach’s own diary, paid online at booking, and the same hour every week as a standing booking.

Coaches paid per head

A coach’s pay set as a rate per person in each class they ran, beside hourly and commission pay, with the run worked out from the classes.

Belts as tags

Tag members by belt or level, filter the list before a grading, and change the tag after it — the history stays.

Members at the door

Each member shows the QR pass from their account; the desk scans it, a pack of sessions uses one a day, and the waiver is signed before the first training.

Waitlists you can act on

A drop-out frees the spot at once; offer it to the next person from the list in one tap.

Memberships that renew themselves

The client’s card is charged each period when they choose it at purchase (LiqPay or Fondy), a payment link goes out otherwise, and there is a grace period and a lapse you never chase by hand.

Off-peak classes priced to fill

Discount the midday session on the booking page and let the price move people into it.

Your first week on Setvos

  1. 01

    Put in the timetable

Each class as a group service with its capacity and coach, and the week published so the booking page opens.

  2. 02

    Bring the members over

Import the member list from a spreadsheet, with each member’s belt or level in the tags column.

  3. 03

    Sell the memberships

Set up the monthly membership and the visit pack, and send each member the link to pay or save a card.

  4. 04

    Set the coaches’ pay

A per-head rate for class coaches, an hourly rate or commission for the rest; the first run shows what each earned.

  5. 05

    Share the booking link

In the club’s bio and group chat, so trial classes and personal sessions book themselves.

A 4-person studio pays €40/mo

4 employees on Standard, 12-month term: €55/mo list, €561 on day 7, and 14 months of service (12 paid + 2 bonus) — €40 effective per month. Prices exclude tax. VAT or sales tax is added at checkout where it is due; an EU business with a valid VAT number pays no VAT and accounts for it under the reverse charge.

Martial arts club: questions

Does the membership count down when a member walks in?

Yes: a member checked in at the desk with the code on their booking, or marked present in the class register, uses one visit of their pack; a personal session uses its pack at checkout.

Can I sell gloves and wraps?

Yes, as products on stock added to a visit’s bill at checkout. A counter sale without a booking is not built.

How does a trial class work?

Make a free or low-priced trial service in the timetable; the newcomer books it from the link with a name and phone, and stays on your client list afterwards.

Sport & fitness questions

What happens when a member cancels late?

Your notice window decides whether the deposit is kept. The spot frees at once, and you can offer it to the waitlist in one tap.

Can someone book a whole term?

Yes: give the class a timetable and enrol them — a seat in every session between two days, and a full one is skipped and shown, never forced. Drop-ins still take single seats, and the waitlist offers a freed one in one tap.

How are trainers paid for a class?

Per head, by the hour or by commission. Per-class pay counts each session closed in the register — the members present and the no-shows, never the excused — next to hourly pay from the rota and commission from the till, plus adjustments you enter with a reason.

Move your bookings off paper, WhatsApp and three spreadsheets.

Bring your clients, services and past visits in from a spreadsheet or your old system’s export, with a preview before anything is written — and help in chat, in six languages, whenever you want it. Most studios are live the same day.
