Loyalty & gift cards · How-to
Create a membership plan
Offer a visit pack, an hours pack or a discount membership that clients buy for a set period.
Open the memberships
Open Loyalty & gift cards › Memberships. “Plans” at the top lists what you sell, with the price, the benefit, such as 10 visits, 8 hours or 15% off, and how many subscribers each has. “Subscriptions” below lists who holds one, what is “Left” of it and when it “Renews”.
Start a plan
Press “Add plan”. Give it a “Name”, which clients also see when they buy it online, and, if you like, a “Description”. Adding plans needs a role that can create loyalty records.
Set the price and the period
Enter the “Price per period” and the “Period (days)”, for example 30 for a monthly plan. Three days before a membership renews, the client gets a notice by text and, with an email address, by email: when, how much, from which card, how much of the period is used, and that switching renewal off beforehand charges nothing. A declined card gets an email with the link to pay.
Choose the benefit
Under “Benefit type”, choose:
- “Percent discount”: enter “Discount (%)”; it comes off the services at the till.
- “Included visits”: enter “Visits per period”; each visit at the till uses one and its services are covered.
- “Hours pack”: enter “Hours included”; each visit uses the length of its services in minutes, and is covered only when enough hours are left for the whole visit.
The benefit type cannot be changed later, so choose carefully.
Create it
Press “Create plan”. The plan can now be sold at the desk and, when you take online payments, bought by clients online.
Change or retire a plan
Press the pencil on a plan’s row to change its name, description, price, period or benefit amount, and press “Save”. As the dialog says, a new discount applies from each subscriber’s next visit, and a new price, period, number of visits or hours from their next renewal. To stop selling the plan, press “Archive” in the same dialog and confirm: subscriptions already running keep what was paid for until their period ends, and are not renewed.
Common questions
- Can I manage membership plans on the phone?
Yes, in Membership plans: add a plan with its price per period, the period in days and its benefit — a percent discount, included visits or an hours pack — then edit or archive it. A plan’s benefit cannot change once it is created, and an archived plan stops being sold while its running subscriptions run to their end.
- What do clients see of a membership in the app?
Wallet shows the visits or hours left out of the total, and how it renews — on a card, with Turn off, or by payment link. A client can join a membership you offer, paying on your payment page.
- Does a membership count down at a class?
Yes. Each seat marked “Present” or “No-show” in a class’s register, or checked in at the desk, uses one lesson from the client’s membership, or from the one a child’s place in the class is paid with. “Excused” uses nothing, and changing a mark back gives the lesson back.
- How is a membership paid by bank transfer confirmed?
With “Mark paid (bank transfer)” on the subscription’s row (in Setvos Business, on the subscription itself) once the full price is in your account. The membership then starts, or renews, as with a card payment.
