Count the shelf with a stock take

Count what is really there, post the difference to the ledger, and see what moved while you were counting.

  1. 01

    Start a count

Open Inventory › Stock takes and press “New stock take”. Pick the “Warehouse” and either “Everything in this warehouse” or one category — a shelf at a time is easier to finish. Press “Start counting”.

  2. 02

    Type what you find

The sheet lists each product with what the system expects. Type the number you actually find under “Counted”. Leave a line blank if you did not count it.

  3. 03

    Save as you go

Press “Save” to keep your counts; you can close the sheet and come back to it from the list.

  4. 04

    Post it

Press “Post”. It saves what you typed first and posts only once the save has worked. Each counted line is set to what you counted and the difference goes to the ledger. Blank lines are skipped, never treated as zero. A posted take shows the variance at cost.

  5. 05

Read what moved during the count

If stock was sold or received while you counted, the line shows a “moved” badge with the number beside its variance. That movement is kept apart, so a sale during the count is not mistaken for missing stock.

  6. 06

Cancel a take you do not need

“Cancel” on an open take cancels the take itself, without changing any stock — it does not just close the sheet. A posted take cannot be changed; to correct it, count again.

Common questions

What if I only count half the warehouse?

Post it. Only the lines you counted change; the rest keep their numbers.

Why does it say there is nothing to count?

No product in that warehouse — or in the category you chose — has ever had stock there. A product that ran out stays on the sheet; one never stocked there does not.

Can I see the difference before posting?

Yes. Posting asks first and shows how many lines were counted, the difference from what is on hand now with its value at average cost, and how many units moved while the count was walked. Cancelling a stock take asks too, and changes no stock.

Can two people count one stock take at once?

Yes. Open the same stock take in the staff app on each phone and scan: every scan adds one to that product’s line, and scans from two phones add up rather than overwrite each other — two people scanning six bottles each make twelve. A number typed on a line replaces its count, so type one only once that shelf is finished. Reopen the take to see everyone’s counts.

How do I count a stock take on the phone?

Open the stock take in Setvos Business. Each line shows “Uncounted” until it is counted, never 0, beside its expected quantity. Each scan adds one to its line; tap a line to type what is on the shelf, or to clear it. Counts save as you make them. Post first shows the variance at cost, with stock that moved during the count reported apart, and lines nobody counted stay out of the posting. Cancelling the stock take discards the counts, and stock does not change.
