Inventory · How-to
Set up warehouses and move stock between them
Add the places you keep stock, see what each holds, move stock from one to another, and take a warehouse out of use.
Add a warehouse
Open Inventory › Warehouses and press “Add warehouse”. Give it a short “Code” such as WH-A, a “Name”, an “Address” and, if you like, a “Capacity (units)” to see how full it is. Press “Save”. Two warehouses cannot share a code. The first warehouse you add also takes in the stock counts your products already had, as opening stock.
Read the cards
Each warehouse card shows its units, their value, and how full it is against its capacity. The pencil on a card edits it.
Start a transfer
Transfers start from the stock list: in Inventory › Stock, tick the products, press “Transfer”, choose “From” and “To”, and type the quantity of each.
Send it now or later
“Dispatch immediately (stock leaves the source now)” is ticked, so “Transfer now” sends the stock at once. Untick it and press “Save draft” to send it later.
Send and receive
Transfers are listed under “Transfers” on the warehouses tab. Press “Send” on a draft when the goods leave, and “Receive” when they arrive; only then does the stock count at the destination.
Remove a warehouse
A warehouse that still holds stock cannot be removed: move the stock out with a transfer or an adjustment first. Then press the bin on its card and confirm. An empty warehouse nobody used is deleted. One that ever held stock cannot be deleted: the window offers “Deactivate” instead, so its history stays.
Know what deactivating does
A deactivated warehouse shows “Inactive” on its card and keeps its history. It leaves the pickers for orders, purchase orders, transfers, stock takes, the low-stock draft and the till, and the shop no longer sells from it. “Reactivate” on the card takes it back into use.
Common questions
- Where is stock while it is in transit?
It has left the source and is not yet at the destination, so it counts at neither until you press “Receive”.
- Can I manage warehouses and transfers on the phone?
Yes. Warehouses shows how full each one is; add one with a code, name, address and capacity, or edit it. A warehouse that still holds stock cannot be deleted — move or adjust its stock first — and one with stock history is switched off instead: it leaves every picker and keeps its history, and “Switch on” brings it back. Transfers lists each transfer with its lines; a new one takes where from and where to, the products by scan or search with their quantities, then “Dispatch now” or “Save draft”. Send and Receive move it along.
