Inventory · How-to

Check stock levels and adjust them

See what each warehouse holds, what is reserved and available, correct a count, set a reorder point and read the stock ledger.

  1. 01

    Open the stock list

Open Inventory › Stock. Each product shows its count per warehouse, “On hand”, “Reserved”, “Available”, its “Value” at average cost, “Avg cost”, “Margin” and a status: In stock, Low stock or Out of stock.

  2. 02

    Narrow it down

Search by name or SKU, and filter by warehouse or by status. “Low stock” lists everything whose available units — on hand minus what orders hold — are at or below its reorder point.

  3. 03

    Adjust a count

Click a product. In “Adjust stock”, pick the “Warehouse”, type the “Change (±)” — for example +12 or -3 — and choose a “Reason”: Recount, Damaged or Other. Press “Save”. Stock cannot go below zero, and an adjustment does not change the product’s average cost. A deactivated warehouse is offered only while the product still has stock there.

  4. 04

    Set a reorder point

In the same window, “Reorder point” is the level at which the product counts as low in that warehouse and people are alerted. 0 switches the alert off.

  5. 05

    Act on several at once

Tick products to show the action bar: “Transfer” moves them to another warehouse, “Adjust” opens the adjustment when exactly one is ticked, and “Print labels” opens the label studio.

  6. 06

    Read the ledger

Press “Stock ledger” to see every movement, newest first — adjustments, sales, receipts, transfers, returns and counts — with the reason and who made it, and filter it by product. An opening balance shows the reason “Opening stock”.

Common questions

Why does the margin show a dash?

The product has no cost yet. Its average cost starts as the cost typed on the product and follows what purchase orders receive after that; with neither, Setvos shows no margin rather than a made-up one.

What is the value column based on?

The units on hand at their average cost — what the stock cost you, the same figure as the dashboard’s. A product with stock and no cost yet says “Not costed” rather than showing nothing.

Can I sell from the phone’s scanner?

Yes, one item at a time. Scan & sell in Setvos Business scans a product, shows its price, the stock on hand and the warehouse, and sells one for cash or card. The sale counts in that place’s day at the till, and a line says what happened to its receipt. A basket of several items goes through the checkout.

How does the phone’s scanner work?

The scanner in Setvos Business keeps scanning, has a torch for a dark stock room, and always offers “Type the code”. Each code shows the product, on hand, SKU, price and warehouse. Recount puts one more on the shelf or takes one off, in the warehouse you choose; “Sell one” sells it. Receive takes one purchase unit in on an open purchase order line, and Count adds one on an open stock take. A code no product has offers “Create a product with it”, with the barcode filled in. Offline, the actions are off.

Can I see and adjust stock on the phone?

Yes. Stock shows the stock value at cost, units on hand, low stock and open purchase orders, then the value by warehouse and the week’s top movers. The stock list searches by name, SKU or barcode, with warehouse and status chips, and each row has its counts, value at cost and margin. Tap a row to Adjust it: the warehouse, the change, Recount, Damaged or Other, and the reorder point. Touch and hold to select rows to Transfer or Print labels. The stock ledger lists every movement, by type.
