Inventory · How-to

Get warned before you run out, and reorder in one step

Set reorder points, get the low-stock notification, and turn low stock into draft purchase orders.

  1. 01

    Set a reorder point

In Inventory › Stock, click a product, choose the warehouse, and type a “Reorder point” — the level at which it counts as low there. Press “Save”. 0 switches it off.

  2. 02

    Watch for the notification

Four times a day Setvos checks every reorder point and notifies everyone whose role can see inventory. While that notification is unread, no second one is sent.

  3. 03

    See what is low

The dashboard in Inventory lists low products with a “Reorder” button that takes you to purchasing.

  4. 04

    Draft orders from low stock

On Inventory › Purchasing, press “Draft from low stock”, pick the warehouse and press “Draft from low stock” again. Setvos writes one draft order per supplier from their price lists — the preferred supplier for each product, or the cheapest when none is preferred — enough to bring each product to twice its reorder point, in whole purchase units and never below the supplier’s minimum.

  5. 05

Deal with what nobody sells you

Products with no supplier price are listed after “No supplier price for:”. Add them to a supplier’s price list, or order them by hand.

  6. 06

    Check and send the drafts

Open each draft on the board, check the quantities, and press “Mark ordered” when it goes to the supplier.

Common questions

What if I press “Draft from low stock” twice?

You get the same drafts, not double quantities: the open draft for that supplier and warehouse has its low products set to the new suggestion. Lines you added to it by hand stay, at the prices you typed.

Does low mean on hand or available?

Available, everywhere: on hand minus what open orders hold, at or below the reorder point. The notification, the dashboard, the stock table and “Draft from low stock” all read it the same way.

How do I reorder low stock on the phone?

Low stock on the Stock screen lists what is at or below its reorder point, and a row opens Adjust. “Reorder” opens “Draft from low stock”: choose the warehouse and see how many draft orders it would make, which supplier’s open draft each joins and which products have no supplier price, then “Create drafts”.
