Deals: questions people ask

Short answers about pipelines, who sees which deals, stage totals, deals from your website, won-deal notifications, invoices and lost reasons.

Common questions

Can I have more than one pipeline?

Yes. Add one in Settings › Pipelines. With more than one, a menu beside “Board” and “List” picks the pipeline on screen, “New deal” starts in that pipeline, and “Make default” chooses the one the board opens on.

Can I move a deal to another pipeline?

Yes. Open the deal, press “Edit” and choose the other pipeline in “Pipeline”. Its “Stage” starts on that pipeline’s first open stage; pick another if you like and press “Save changes”. The move is written on the deal’s timeline and, into a won stage, tells its owner as any win does. Moving deals needs a role that may edit them.

Why can’t a colleague see my deals?

Their role covers fewer records. With “Own team” a role sees only the deals owned by someone in its holder’s teams, with “Own only” only the holder’s own. Give the deal an owner your colleague can see, or an owner or admin can widen the role in Settings › Roles & permissions.

Who is told when a deal is won?

Its owner, with a notification that opens the deal, unless they won it themselves. That happens however the deal became won: moved on the board or from its page, created straight into a won stage, or sitting in a stage switched to “Won”.

What happens to deals when I delete a stage?

They move to the first open stage of the same pipeline and are open again. Nothing is deleted with the stage.

What does a deal from my website’s form look like?

It lands in the first open stage of your default pipeline, titled with the form’s topic and the sender’s business or name, in your workspace’s language and currency; their message is kept as a note on it. It has no owner, so only roles that see all records see it until someone gives it one.

Does winning a deal create an invoice?

No. Winning a deal and billing for it are separate steps; create the invoice yourself when you are ready to bill.

Do I have to give a reason when a deal is lost?

No. “Not now” skips it, and the deal is lost either way. A one-line reason is worth it, though: it is the first thing a colleague wants to know when the client comes back.

How do I move a deal on my phone?

Open the deal and pick the new stage in the menu at the top of its page.
