Getting started: your first hour with Setvos

What a workspace is, and what to set up in your first hour — your business details, modules, team, clients, booking page and connections — so that Setvos is ready for real work tomorrow.

  1. 01

    A workspace is your business

Everything in Setvos lives in a workspace: your clients, bookings, invoices, team and settings. Each part of the product is a module, and you decide which ones are switched on. You do not have to learn all of it — use two or three modules well and add more when you need them.

  2. 02

    Check your business details

Open Settings › General. Under “Business details”, check the “Time zone” first: it decides what every booking and shift time means, so a wrong one puts every appointment out by the difference. “Country” decides which payment providers you can sign up for and the currency your licence is sold in, “Currency” is used for new products, deals and invoices, and “Client language” is the language your clients get their confirmations and reminders in. Press “Save”. If you will send invoices, fill in “Seller details” below it as well.

  3. 03

Switch on only what you use

The business type you chose when you created the workspace switched on the modules that kind of business usually needs. Open Marketplace and switch off anything you will not use this month. Switching a module off hides it from the menu for everyone; it never deletes anything, and switching it on again brings everything back.

  4. 04

Set up roles, then invite your team

An invitation carries a role, and the role decides what the person sees from their first sign-in. Read the roles in Settings › Roles & permissions first: the Member role works with its own and its team’s records, with no payroll and no exports, and the Manager role sees everything except payroll. A system role is fixed; duplicate it to make your own version.

Then open Settings › Members, press “Invite” and choose a role for each person. They get an email link, and the role applies once they accept. A client, deal or task somebody creates is theirs to start with, so it stays in view under the Member role too.

  5. 05

    Bring your clients in

Add a few clients by hand in Contacts, or press “Import” there to bring in the list from your old system or a spreadsheet, as a CSV file. A name and a phone number are enough to start; the rest fills in as you work. After an import, “Find duplicates” shows clients who ended up twice.

  6. 06

    Get ready for online bookings

When you create a workspace for a business that takes appointments, a short setup follows: your place and the address of its page, your services with the prices you type, your hours — published six weeks ahead — and your link with its QR code. Any step can be skipped, and whatever you skip waits on the tile.

If you take appointments, the “Your first online booking” tile on Dashboard shows how far you are and opens the next step when you press it:

Beside the steps it suggests “Add your booking link to Google and Instagram” until you mark that link added on Bookings › Public page; it is a suggestion, not a step. There is nothing to connect for reminders: they go out from the first day, as texts from your plan’s allowance and through @Setvos_bot to clients who link it. Once every step is ticked, the tile says “You are taking online bookings.” and leaves the dashboard.

  7. 07

Publish and share your booking page

In Bookings › Public page, give the page its look and words. Your changes wait in a draft until you press “Publish”. Under “Booking link”, choose a short address and press “Save link”. Then “Share your booking link” gives you links for Instagram and your Google Business Profile, and a QR code for the counter.

  8. 08

    Connect what you already use

Nothing on Integrations is needed to begin. Come back when you want more: a payment gateway in Integrations › Payments to take deposits and online payments, your own SMS gateway in Integrations › SMS gateways to text under your own sender name, your own Telegram bot, your mailbox for the Inbox, or your cash register (ПРРО) so that receipts are issued through it.

  9. 09

Follow the checklist and do one real piece of work

The “Getting started” tile on Dashboard lists what is still to do: “Turn on the modules you need”, “Add your first client”, “Invite a colleague” and “Create your first task”. It hides itself once every step is done.

Then book one appointment or send one invoice for a real client. A system you have used once for something real is one you will open again tomorrow.

Common questions

What will Setvos email me while I try it?

A welcome on the first day, then a tip on bringing your clients in and one on sharing your booking page — each skipped once you have done it — and a reminder three days before the trial ends. News and offers come only if you ticked the box for them at sign-up; you can change both under “Email from Setvos” on Account settings › Notifications.
