Import or export your client list

Bring a CSV file of clients in from the client list, see exactly what will happen before anything is saved, and download your list as a spreadsheet.

  1. 01

    Start an import

On Contacts, press “Import” (under the ⋯ button on a phone) and choose a CSV file. Nothing is saved yet.

  2. 02

    Read the preview

The dialog shows how many clients will be created, how many rows are skipped because a client with the same phone or email already exists, and which lines have problems, such as a missing first name. “Columns ignored” lists the columns it did not recognise.

  3. 03

    Give the clients an owner

Imported clients are yours. To give them to colleagues, add an “Owner” column holding a team member’s email. An email no team member has, or one belonging to someone your role does not let you give clients to, shows as a problem on its line.

  4. 04

Bring birthdays, notes and tags in too

A column headed “Birthday”, “Date of birth” or “DOB”, or the same heading in Ukrainian, Russian, German, Spanish or French, fills in the client’s birthday; the date of birth column of an Altegio or YCLIENTS export is read the same way. Write dates as 1990-05-12, 12.05.1990, or 12.05 without the year. A date with slashes, such as 05/12, can be read two ways, so it is never guessed: its line shows as a problem, “Could not read the date”. A “Notes” or “Comment” column becomes one note on the client’s timeline, and a “Tags” or “Labels” column gives the client those tags — several separated by commas — creating any tag you do not have yet.

  5. 05

    Import

Press “Import” with the number of clients shown on it. A message confirms how many were imported and how many duplicates were skipped.

  6. 06

Use the full importer when you need more

If your columns are not recognised, your file comes from another system such as Altegio, you want existing clients updated from the file, or you may want to undo the import later, an owner or admin can use the importer in Settings › Data. It lets you match columns by hand and keeps a history you can undo from.

  7. 07

    Export the list

Press “Export” to download your clients as a CSV spreadsheet. It holds every client your role lets you see, not only what your search or filters show, with each client’s owner as an email and their birthday as 12.05.1990, or 12.05 without a year, so the file can be imported back. For everything in the workspace at once, an owner or admin can prepare a full export in Settings › Data.

Common questions

Will importing the same file twice create duplicates?

No. A row whose phone or email is already on a client is skipped, so running the same file again adds nobody.

Why is “Export” missing?

Your role does not include exporting. Ask an owner or admin.

Can I import clients on the phone?

Yes. In the Clients tab, choose “Import clients” under ⋯ and pick a CSV, Excel (.xlsx) or text file of up to 10 MB. Choose “Coming from”, read the preview and fix the columns, then “Import these rows”. Nothing is written until you have seen what the file would do.
