Decide what members may change on their own profile

Choose whether people may change their own name, email, photo and contact details, and approve email changes when they need an admin.

  1. 01

    Open the owner policy

Open Settings › General and find “Owner policy — profile fields”.

  2. 02

Choose a rule for each field

For “Name changes”, “Email changes”, “Profile photo” and “Phone & job title”, choose “Allowed”, “Admin approval” or “Locked”. Your choice is saved as soon as you pick it. The rules apply to everyone in the workspace, owners and admins too.

Only email changes go through an approval. For the other fields, anything but “Allowed” locks them, and people see them greyed out on their profile.

  3. 03

    Review email-change requests

A new workspace starts with “Admin approval” for email changes. When a request comes in, a line saying how many are pending appears on this card, and everyone who manages the workspace gets a notice. Press “Review”, then “Approve” or “Decline” each one.

  4. 04

    Know what approval does

Approving does not switch the address yet: the person gets a confirmation link at the new address, and the change happens when they open it. The message on screen says where the link went. The link is valid for 24 hours.

Common questions

Can I stop people changing their name on bookings?

Yes. Set “Name changes” to “Locked”, and nobody can change their own first, last or display name — owners included.
