Loyalty & gift cards · How-to
Issue and redeem gift cards
Create a gift card with a code and a balance, sell cards on your booking page, take payment with them at the till or by hand, and follow the balance down to zero.
Open the gift cards
Open Loyalty & gift cards › Gift cards. Each card shows its “Code”, who it is “For”, its “Balance”, “Initial” value, “Status” and when it was “Issued”. The number beside the heading counts your cards, leaving out those “Not paid”.
Issue a card
Press “Issue gift card” and enter the “Face value”. If you like, pick the client who bought it under “Bought by (optional)” with “Choose a client”, and set an “Expiry date (optional)”. Press “Issue card”. Issuing needs a role that can create loyalty records.
Give the client the code
A confirmation shows the new code, and the card is active with its full balance at once. Issuing a card does not record a payment for it, so take the money for the card as you usually do.
Take payment with a card at the till
In the “Checkout” window, set a payment row to “Gift card” and type the code; the card’s balance appears beside it. Leave the amount empty to use as much as the card holds, up to what is due.
Or redeem it by hand
On the card’s row, press “Redeem”, enter the “Amount to redeem” and press “Redeem”. This only lowers the balance; it records no sale or payment. At zero the card becomes “Redeemed”.
Anyone can buy one on your booking page
Turn on “Sell gift cards on your booking page” on Loyalty & gift cards; it needs a payment gateway connected or payment details added on Integrations › Payments. Anyone can then buy a card on your booking page, with no account: they pick one of four amounts in your currency — 500, 1,000, 2,000 or 3,000 hryvnias, or 25, 50, 100 or 200 euros or dollars — can fill in “Who is it for” and “A few words”, up to 200 characters, give their name and email, and pay on your gateway or by bank transfer. Clients can also buy one in their online account. The card appears here as “Awaiting payment”, with the person it is for and the words under “For”, and becomes active with its balance once the payment arrives — for a bank transfer, when you press “Mark paid (bank transfer)” on its row. The buyer is then emailed the code and a printable PDF voucher, in your workspace’s language, with your business name, the amount, the code, who it is for, the words, the expiry if the card has one, your booking address and a QR code. The buyer hands it over; nothing is sent to the person it is for.
A card nobody paid for within 48 hours — 7 days for one bought by bank transfer — shows “Not paid”; if the money still arrives later, the card is issued. One email can have at most three unpaid cards waiting. With a cash register (ПРРО) connected, the receipt line calls it a gift certificate and leaves out the code. Setvos takes no fee. The buyer’s email carries the card with its code and validity, their message and a printable voucher, on your booking page’s look. Nothing is sent to the person it is for.
Common questions
- Why was a gift card refused?
It has expired, is used up, or is still “Awaiting payment”, or the amount is more than its balance.
- Can I top up or cancel a gift card?
No. A card’s balance only goes down, so issue a new card for more value. If a card must not be used, redeem what is left on it by hand; it then shows as “Redeemed”.
- Can the till scan a gift voucher?
Yes. The voucher the buyer receives by email carries the card’s code as a barcode under the printed code. Scan it into the gift card field at checkout, or type the code. The QR code on the voucher opens your booking page.
- Can I issue and redeem gift cards on the phone?
Yes. Gift cards lists each code, its balance out of the face value, the status — Not paid for a card bought online and not paid within 48 hours, or 7 days by bank transfer — and who it is for. “Issue a gift card” takes the face value in your workspace’s currency, and optionally who bought it and an expiry date, then shows the code with a QR code to share. Find a card by scanning its QR or typing its code, and Redeem an amount, the balance unless you change it. A card bought online has its code emailed to the buyer once it is paid. A card paid by bank transfer shows “Mark paid (bank transfer)” while the transfer is not confirmed: press it once the money is in your account.
- Can clients get a gift card in the app?
Yes, when you sell gift cards online: the client picks one of your amounts, adds the recipient’s name and a message, and pays on your payment page. The code and a PDF voucher are emailed to the buyer; the app never shows the code.
- Can a client check a gift card’s balance in the app?
Yes, a signed-in client, with “Check a gift card”: your salon and the code give the balance, status and expiry.
