Export or erase a client’s personal data
Answer a client who asks what you hold about them or asks you to forget them, and know how erasing differs from deleting.
Export their data
On the client’s card, choose “Export their data”. A file with what your workspace holds about them, as far as your role can see it, downloads to your computer: their details, notes, deals, tasks, appointments, invoices, messages and more.
Erase their personal data
Choose “Erase personal data” and confirm with “Erase”. Their name, contact details, notes, health notes, measurements, signed consent forms, language, files, messages and saved cards are removed for good. Their appointments, invoices and receipts stay, attached to an anonymous record, because your records still need them. This cannot be undone. The children, pets and vehicles kept under them are removed too; the visits that named one stay, without the name.
Or delete a card made by mistake
“Delete” removes the client, their timeline and their files for good, after you confirm. Use it for a card created in error. A client who is on an invoice, a recurring invoice or an order cannot be deleted; erase their personal data instead, so those documents stay whole without the person on them.
Check your role
Exporting needs the export permission; erasing and deleting need permission to delete clients. If you do not see these items, ask an owner or admin.
Common questions
- Why does deleting a client fail?
The client is on an invoice, a recurring invoice or an order, which your business keeps, and the message says so. Use “Erase personal data” instead: the documents stay, without the client’s details.
- Can I get an erased client back?
No. Erasing is permanent. If you might need their details, export them first.
- What happens to their messages and tickets?
Their conversations in the Inbox are deleted, with every photo and file in them. Tickets they opened stay, with their status and response times, but the subject and every message are cleared and their files deleted.
- Can I export or erase a client’s data on the phone?
Yes, from ⋯ on the record. “Export their data” makes a JSON file and opens the share sheet. “Erase personal data” asks you to type the client’s full name; their name, contact details, notes, health notes, measurements, signed consents, files, messages and saved cards are then removed for good, while appointments, invoices and receipts stay without a name. Delete removes a client with their timeline and files; a client on invoices or orders cannot be deleted, and the app says so and offers “Erase personal data”.
