Bookings: your diary, staff rota and online booking page
How the bookings screens fit together, what to set up first, and how a day at the desk runs, from the first booking to the till.
One diary for every booking
Bookings holds your appointments diary, your services and prices, the staff rota and the page clients book from. It is all one set of data, so a visit a client books online lands in the same diary as one you take on the phone, and the same rules decide which times are free.
Set it up in this order
Each step builds on the one before it:
- Add your places, one per branch, on Bookings › Places.
- Describe what you sell on Bookings › Services: a length, a price and who does it.
- Plan who works when on Bookings › Schedule and publish it. Only published shifts can be booked.
- Design your page on Bookings › Public page and share its link.
- Set deposits, message texts and limits on online booking on Bookings › Settings.
Run the day from the diary
The diary shows one column per person on shift. Book with “New appointment”, then open a visit to check the client in, start it, finish it and take payment at the till. When a visit is cancelled, the freed time can be offered to someone on your waitlist.
The other screens
Bookings › Waitlist keeps your waitlist, standing appointments, and the rooms and equipment services need. Bookings › Reviews is where you answer reviews, Bookings › Consent forms holds the forms clients agree to before a service, and Bookings › Promo codes holds your discount codes.
Who can do what
What a person can see and change here follows their role: viewing the diary, booking, changing visits, deleting and changing bookings settings are separate permissions. A role can also be limited to the places its holder works at. An owner or admin sets this on Settings › Roles & permissions.

Find your way around the appointments diary
Switch between the day, week, month and list views, filter by place, person or service, move visits by dragging, and block time for breaks.
Book an appointment for a client
Book a visit from the desk: pick the client, the services, the person and a free time, and Setvos sends the client a confirmation.
Plan the staff rota and publish it
Set who works when at each place, a week or a month at a time, and publish it. Only published shifts can be booked, online or at the desk.
Set up your services, prices and categories
Add the services you sell with a length, a price and who does them, group them into categories, vary prices by place or person, and choose what clients can book online.
Design and publish your booking page
Give each place a booking page in your colours, with a hero, photos, team profiles, your links, a promo and the sections you choose, preview it, and publish when it is ready.
Add and manage your places
Add each branch you take bookings at, set its hours and chairs, say who works there, and know what happens when a place closes at renewal or is deleted.
