Orders & shipping · How-to

Take payment and ship or hand over an order

Get an order paid online, in cash or on delivery, send it with a waybill or hand it over at the desk, follow the parcel, and fix a waybill the carrier refused.

  1. 01

    Open the order

Click it in Orders & shipping. If it is still a draft, press “Place & reserve” first, so its stock is held; taking payment for a draft places it too.

  2. 02

    Take payment online

On a draft or placed order, press “Payment link”. The gateway’s payment page opens in a new tab — or, when you take bank transfers only and the order is in hryvnias, the bank link that opens the buyer’s bank app — and you send its address to the buyer. When they pay, the order turns Paid by itself, and with a cash register connected a receipt is issued through it. A bank transfer shows under the total, with “Mark paid (bank transfer)” for when the money is in your account, whole or in part — on the phone too.

  3. 03

    Or record the payment yourself

Press “Record payment” (on a phone, behind the ⋯ button). Choose the “Method” — Cash on delivery, Cash or Bank transfer — check the amount, add a reference if you like, and press “Record payment”. With a cash register connected, a receipt is issued through it: cash and cash on delivery as cash, a bank transfer as non-cash.

“Record payment” stays until a payment is recorded, also after the parcel has left: record cash on delivery when the money arrives, and the order keeps its step.

  4. 04

    Check where it goes

The “Delivery” card shows the carrier, city and branch, or “Collected by the buyer — no carrier.” To change it, press “Delivery” among the actions at the top (on a phone, behind the ⋯ button): pick a city and branch from the carrier’s lists, or “Collected by the buyer”, and press “Save”. The items and prices stay as they are. This is open until the carrier starts making the waybill.

  5. 05

    Ship it

Press “Fulfil & ship” — on a placed order, paid or not yet. Setvos asks your carrier for a waybill: the order shows Fulfilling and the shipment “Being created…”. Once the waybill exists, the order is Shipped, the stock leaves the warehouse, and the buyer is sent a message with the waybill number.

  6. 06

    Or hand it over

When the buyer collects the order, or your own courier takes it, press “Hand over” — the main button on an order collected by the buyer, and among the other actions on one that was to be sent — and confirm. The goods leave the shelf and the order is Delivered, with no waybill and no message to the buyer.

  7. 07

    Follow the parcel

The “Shipment” card shows the carrier that booked it, the waybill, the carrier’s status and the estimated delivery. Tracking refreshes every 30 minutes, and “Refresh tracking” asks that carrier now; for a Nova Poshta waybill, “Track on carrier site” opens its tracking page. When the carrier reports delivery, the order turns Delivered and the buyer is told.

  8. 08

    If the waybill fails

The “Shipment” card says why the carrier refused it, and the order goes back to Placed, or Paid if a payment was recorded. Fix the cause — often the address, which you correct with “Delivery”, or the carrier’s settings — and press “Retry waybill”; the retry takes the address as it is now.

  9. 09

    Print the packing list

Once the order is placed, “Packing list” opens a sheet for the box, with the items and the buyer, for whoever packs it.

  10. 10

    Cancel if you must

Before it ships, “Cancel order” releases the reserved stock; this cannot be undone, and it does not send back money already paid — refund the buyer yourself. A draft is deleted rather than cancelled. After it ships, open a return instead.

You can cancel while the carrier is still making the waybill: no waybill is booked, and the shipment shows Canceled. If the carrier had booked it just before, the order stays cancelled and no stock leaves the shelf, but the waybill is the carrier’s: the “Shipment” card keeps its number and asks you to cancel it with the carrier.

Common questions

Why is “Fulfil & ship” greyed out?

The order has no delivery city and branch from your carrier’s lists, which is usual for a shop or marketplace order: the buyer’s address arrives as text. Press “Delivery” among the order’s actions (on a phone, behind the ⋯ button), pick the city and branch, and the button comes back.

What if no carrier is connected?

“Fulfil & ship” is refused with a message pointing to Integrations › Delivery, and the order stays where it was. Setvos never makes up a waybill. An order the buyer collects needs no carrier: use “Hand over”.

How do I record cash on delivery?

When the carrier pays you, use “Record payment” with “Cash on delivery”. It works as long as no payment is recorded yet: before shipping the order turns Paid, and after shipping it stays Shipped or Delivered.

How do I ship an order from the phone?

On a paid order, “Fulfil & ship” books the waybill with the carrier; while the post office is missing it is off, with the reason. The shipment shows the waybill, which you can copy, and the carrier’s status, delivery date and cost, with “Refresh tracking”, and “Retry waybill” after a failure. The packing list carries the waybill number and opens in the share sheet, to print or send. “Hand over” gives the goods to the buyer with no waybill: they leave the shelf and the order is marked delivered.
