Orders & shipping · How-to
Create and place an order
Take an order at the desk, choose where it ships from and how it reaches the buyer, and reserve the stock so nobody else sells it.
Start a new order
In Orders & shipping, press “New order”.
Say who it is for
Enter the “Customer name” and “Phone”, and an “Email” if you have one. Pick the “Ship from warehouse”.
Say how it reaches the buyer
In “Delivery”, choose “Sent by carrier” and pick the “Destination city” and the “Carrier branch” from your connected carrier’s lists; with Nova Poshta, the branches include its parcel lockers. For an order the buyer collects, or that you hand over at the desk, choose “Collected by the buyer”: no carrier, city or branch is needed.
Add the items
For each line, open the picker and type a product’s name, SKU or barcode; each match shows its price and how many are in stock. Set the quantity. Prices come from your product catalogue. “Add item” adds another line.
Add delivery
Type a “Shipping fee”, or, for an order sent by carrier, pick the city first and press “Get the carrier’s price” to ask the carrier. Nova Poshta answers with a price; a carrier that does not quote before a waybill says so.
Save the draft
Press “Create order”. The window closes and the order appears at the top of Orders & shipping as a draft with its number, ORD-0001 and so on. Open it: a draft can still be changed with “Edit”, or removed with “Delete” if your role allows it.
Place it
On the order, press “Place & reserve”. The stock of every product whose stock is tracked is held in the warehouse so nobody else can sell it; if there is not enough available, the message says how many there are. A product whose stock is not tracked holds nothing. From here the items cannot be edited.
Common questions
- Why can I not edit a placed order?
Placing it reserved the stock, and changing the items would let the order and the reservation disagree. Cancel it — the stock goes back — and create a new one. Where it goes can still be changed with “Delivery” until the carrier starts making the waybill.
- Why are the city and branch lists empty?
They come from your carrier. Connect Nova Poshta, Ukrposhta or Meest in Integrations › Delivery first, or choose “Collected by the buyer” if the order is not sent.
- When I edit a draft, do its prices change?
No. Every item already on the order keeps the price it was ordered at; only a product you add takes today’s catalogue price.
- Can I create an order on the phone?
Yes: press + in Orders. Enter the customer, or choose a client, and the warehouse it ships from. For Nova Poshta, choose the city, then a post office or parcel locker; a new city clears the post office. Or choose “Collected by the buyer”. Add products by search or scan. “Get the carrier’s price” fills the shipping fee, or says the carrier cannot quote this parcel and you enter the fee yourself. The order is saved as a draft; “Place & reserve” takes the stock off the shelf.
