Keep a client’s children, pets and vehicles

Give each child, pet or car its own record under the client who books for it, so every visit, seat, membership and signature says which one it was for.

  1. 01

Say which services are for whom

Open a service in Bookings › Services and choose under “Booked for”: “The client”, “A child”, “A pet” or “A vehicle”. A service booked for a child asks which child every time it is booked: at the desk, on your booking page and in the Setvos app.

  2. 02

Add them on the client’s card

Once a service is booked for a child, a pet or a vehicle, the client’s card in Contacts shows a “Children”, “Pets” or “Vehicles” card (“Children, pets and vehicles” when you book for more than one kind). Press “Add”, choose the kind if asked, and fill in the name, the date of birth of a child or a pet, and any notes. A client who books online adds them by typing the name, and the same child is found again the next time.

  3. 03

Give each kind its own fields

In Settings › Fields, choose “Children, pets, vehicles” under “Which records” and add a field: a breed, a plate, a school year. “Asked of” keeps it to one kind, so a car is never asked for a breed. The fields show on the card under each name.

  4. 04

    Book for one of them

In “New appointment”, once you pick a service booked for a child, the “Which child” list offers the client’s children, and “Add a child” adds one on the spot. The diary then shows the visit as “Maks (Olena Petrenko)”, and the client’s confirmation names Maks. A class seat, a standing appointment, a waitlist entry, a membership, a signed consent and a measurement can name one of them the same way.

  5. 05

    Archive one

When a child grows up or a car is sold, press the archive button beside it. It is no longer offered, the visits that named it keep the name, and “Archived” lists it with a button to restore it. Erasing the client’s personal data erases these records too.

Common questions

Can a parent book two children into the same class?

Yes. Each child takes their own seat, so a parent booking Maks and then Sofia holds two seats.

Can two children share one membership?

No. A membership names the child it is for, so a parent takes the club’s plan once for each child, and the till takes a child’s visit from that child’s own membership.

What does the client see?

The name and the date of birth, when they book and in their account. Your notes and your own fields stay with your team.

Does a text message name the child?

No: texts stay short, so the name is in the email and on the visit’s own page.
