Tasks: questions people ask

Short answers about who sees which tasks, assigning, the calendar, overdue dates and linked records.

Common questions

Why can’t I see a task a colleague created?

Your role may cover fewer tasks: with “Own team” it sees the tasks assigned to you or to someone in your teams, with “Own only” just the tasks assigned to you, and this one is assigned to someone outside that. An owner or admin can set your role to “All records” for Tasks in Settings › Roles & permissions.

Can I assign a task to a colleague?

Yes. Choose them in “Assignee” when you create or edit the task; they get a notification that opens it. A task you add with /task in the Telegram bot is assigned to you.

Why is my task not on the calendar?

It has no due date. Give it one and it appears on that day; give it a time as well and it appears at that time.

Why is a due date red?

The task is still open and its due date has passed. An all-day task turns red only once its whole day is over; a task with a time, once that time has passed. The same rule decides what counts as overdue on a record’s “Tasks” card and on the “My tasks” tile of your dashboard.

Can a task be about two clients?

Yes. Link every record the work touches, up to 20 per task.

Where do I see the tasks about one client?

On their card, in the “Tasks” card. It lists the open tasks linked to them.

Do finished tasks disappear?

They leave the “Open” view but are kept. Choose “Done” or “All” in the status menu to see them.
