Tasks · How-to

Complete, change or delete a task

Tick tasks off as you finish them, reopen one if needed, change its details or who does it, and find tasks in the list.

  1. 01

    Tick it off

In Tasks, tick the box at the start of the row. The task is marked done and leaves the “Open” view. To reopen it, choose “Done” in the status menu and untick it. The box is greyed out for roles that may not edit tasks.

  2. 02

    Open a task

Click its title in the list, click it on Calendar, or open a task notification. It opens with every field you filled in.

  3. 03

    Change it

Edit any field and press “Save changes”. Choosing someone else in “Assignee” gives them the task and sends them a notification that opens it.

  4. 04

    Delete it

Press “Delete” in the open task and confirm. The task and its links are removed for good. “Delete” is there only for roles that may delete tasks.

  5. 05

    Find tasks

Switch between “Open”, “Done” and “All” in the status menu, search titles with “Search tasks…”, and sort by “Due soonest”, “Due latest” or “Newest first”. Long lists have pages at the bottom.

Common questions

What happens to a task when the client it is about is deleted?

The task stays. The link keeps the client’s name, crossed out, so the reason for the task is not lost.

How do I finish or change a task on the phone?

Tap the circle on a row to mark it done, or open the task for “Mark done” or Reopen, Edit, and Delete, which asks first. The list has Open, Done and All, a search and three sorts. A due date in red is overdue; an all-day task is overdue once its day has ended on your workspace’s clock. On an iPad the task opens beside the list.
