Time off: questions and answers
Short answers about weekends and holidays, who is notified, who approves, long and year-crossing requests, cancelling, unpaid leave and the rota.
Common questions
- Are weekends counted?
No. Only the person's working days count, on their own week or the workspace's. Public holidays are left out only when the holiday calendar is switched on.
- Who is told about a new request?
The person's manager, if the manager's record is linked to a login; otherwise the owners and admins. Whoever made the request is not sent a notice about it.
- Who can approve requests?
Anyone whose role can edit Time off: owners and admins, and also the built-in Manager and Member roles, which can approve anyone else’s request. Nobody decides their own request except an owner or an admin: on Time off it shows “Your own request: someone else decides it”, and “Approve all” leaves it out. To keep approvals with managers, duplicate the Member role on Settings › Roles & permissions, take away editing in Time off, and give staff that role; they can still request and cancel their own leave.
- Can a request cross into the new year?
Yes. Each day is taken from the balance of the year it falls in. A single request can span up to a year.
- Can approved leave be cancelled?
Yes. Press “Cancel request” on its row on Time off and confirm: the days go back to the balance and its days off leave the rota. Approvers can cancel anyone's leave, and the person is told; the person it is for can cancel their own, and whoever approved it is told.
- How does unpaid leave affect pay?
For someone on a fixed monthly salary, each working day of approved unpaid leave takes a working day's share of the monthly salary off their payslip. Hourly and commission pay simply has no hours or sales on those days.
- Why didn't approved leave appear on the rota?
The employee record was not linked to the person's login when it was approved. Link it, and the next approval reaches the rota.
- Can I see who is off today?
The line under the Time off title counts who is out today. To see who, filter People by the status “On leave”.

Get time off, reviews and hiring, and what happens if the group lapses
People, the time clock and payroll are in every licence. Time off, reviews, hiring and onboarding come with Chain and are an extra group on Standard, which an owner manages on the web; if it ends, their data is kept 30 days, then erased.
