Check an employee's time-off balance

See how many vacation, sick and personal days someone has left this year, and the leave they have already taken.

  1. 01

    Open the person's record

Find them on People and open their record. The “Overview” tab shows their three balances; the “Time off” tab shows the balances and every request.

  2. 02

    Read a balance

Each card shows the days left out of the year's total, with a bar. A half day counts as half.

  3. 03

    Know what changes it

An approved request takes working days from the balance of the year each day falls in, and cancelling it gives them back. Changing an allowance in the policy updates this year's balances of that type: days already used stay used, and vacation keeps the days carried over from last year.

  4. 04

    Watch vacation build up

With “Monthly PTO accrual” on in the policy, the vacation total grows on the 1st of each month by a twelfth of the yearly allowance: in September it holds nine twelfths, plus any days carried over. With it off, the whole allowance is there from the start of the year.

  5. 05

Carry days into the new year

If your policy carries unused vacation days over, a new year's vacation balance is the allowance plus what was left of the year before, up to your limit.

Common questions

Why is there no balance for unpaid leave?

Unpaid leave is not an allowance. It is counted, and for someone on a fixed monthly salary it is deducted in payroll.
