Fortnightly visits on one schedule

A cleaning business is mostly the same addresses again and again. The work is not finding clients; it is keeping thirty fortnightly visits, four cleaners and a few crews from colliding on a Thursday morning.

The usual tool is a group chat and a paper calendar on the office wall. It works until someone is ill, a client asks to skip a week, or a deep clean needs three people who are already booked elsewhere.

One series per regular client

Set each regular client once at the desk as a standing booking — weekly, fortnightly or monthly — with the cleaner who usually goes. Every visit lands in the diary as its own booking with its own reminder. A clash with a holiday or a day off is reported, never forced on top of something else.

Because each visit is its own booking, a client who wants to skip one moves or cancels it from their link, and the rest of the series stays. When a cleaner is off sick, move that day’s visits to someone else in the diary; the clients keep their times.

Crews, buffers and the drive

  • A service that needs a crew books up to six people at once and blocks every one of their diaries.
  • Travel time after each visit at the client’s address leaves the gap for the drive to the next one.
  • A deposit on first visits and deep cleans, kept inside your cancellation window.
A crew is three diaries, not one booking with a note saying “bring two more”.

The address carries the history

Alarm codes, where the key is and the client’s preferences go in custom fields on the client’s card; the address and how to get in are kept on each visit. Before and after photos are attached to each visit, so a complaint three days later is settled from the record rather than from somebody’s phone.

Paying the team

Cleaners are paid by the hour from the published rota or the time clock, or by a commission on what the till took, with adjustments entered with a reason. The team sees the day in the diary, in the browser on any phone, and the day view prints as each person’s list.

Travel and the area you cover

Travel time is a time you set after each visit, not a distance. A radius around your place keeps online bookings to the districts you cover once address checks start; until then, say on your page which they are. For a team of a few people with regular clients, the schedule is what matters, and it works today.
