Courses, cancellations and a diary of their own.

One practitioner, one room, an hour per client, and a course of five or six visits. A late cancellation is an hour nobody else can use, and the notes are for the practitioner, not the front desk.

What an osteopathy practice switches on first

01

Appointments

Per practitioner, per room, with the right duration for each procedure.

02

Patient records

History, notes, attachments and custom fields, with access per module and per role.

03

Reminders

Telegram, WhatsApp or SMS — confirmation, the day before, two hours out.

04

Win-back

A patient who has not been back in the period you set is contacted once, automatically.

05

Billing

Invoices, quotes and receipts through the ПРРО you connect, with revenue by practitioner in the reports.

Six things that only matter in an osteopathy practice

Rooms as resources

Each treatment room bookable in its own right, so two practitioners never share one hour in one room.

Courses as standing bookings

A course of visits set once at the desk — weekly or fortnightly, so many times — each visit its own booking with its own reminder.

Consent and contraindications

Your consent form signed with a typed name when the client books online, and contraindications in their own field, shown on every visit.

Each practitioner’s own diary

With record scope set to “Own only”, a practitioner sees their own clients and appointments and nobody else’s.

A no-show fee on the card

A card saved at booking, and the fee you set taken from it when you mark a visit as a no-show.

Reception books, and only books

Permissions per module and per role: reception gets bookings and payments, while reports, payroll and settings stay closed.

Win-back that actually goes out

The system knows who has not been back and contacts them once, whether or not anyone remembers.

Consent recorded at booking

The patient’s consent and its date are stamped by the server on every online booking, never typed in afterwards.

Your first week on Setvos

  1. 01

Add the rooms and the practitioners

Each room as a resource and each practitioner with their own hours.

  2. 02

    Set the roles

Practitioners limited to their own records; reception books and takes payments, with reports, payroll and settings closed.

  3. 03

    Write the consent form

Your own words, attached to the first-visit service.

  4. 04

    Turn on the no-show fee

Ask for a card at booking and set the fee that applies when a client does not come.

A 6-person clinic pays €58/mo

6 employees on Standard, 12-month term: €79/mo list, €806 on day 7, and 14 months of service (12 paid + 2 bonus) — €58 effective per month. Prices exclude tax. VAT or sales tax is added at checkout where it is due; an EU business with a valid VAT number pays no VAT and accounts for it under the reverse charge.

Osteopathy and manual therapy: questions

Is this a medical records system?

No. Setvos keeps notes, consent and a contraindications field for your work; it makes no diagnosis and records no treatment plan. A licensed medical practice needs records software of that kind as well.

What if a client cancels the night before?

Inside your cancellation window a deposit is kept; a no-show can be charged the fee from the card saved at booking.

Can the client move one visit of a course?

Yes, from their own link; the other visits stay where they are.

Healthcare questions

Can the receptionist be stopped from reading clinical notes?

Permissions are per module and per action, so booking and payments can be granted while reports, payroll and settings stay closed. Notes live on the appointment today, so anyone who can open the appointment can read them.

Where is patient data stored?

EU data centres, isolated per workspace at three levels including database row-level security, with a Data Processing Addendum that is part of the terms.

Can we take consent digitally?

Booking consent is recorded with its date on every online booking, and a form you write once is signed on the patient’s phone while they book — the signature keeps a copy of the wording exactly as it stood that day.

Features for Healthcare

Move your bookings off paper, WhatsApp and three spreadsheets.

Bring your clients, services and past visits in from a spreadsheet or your old system’s export, with a preview before anything is written — and help in chat, in six languages, whenever you want it. Most studios are live the same day.
