Podology courses that don’t stop after visit two

Ask a podologist where courses fail and the answer is rarely the treatment. It is the gap between visits: the client feels better after the second one, the next date was never written down, and by the time they remember, you are starting again.

A course is a promise of dates as much as of care. When the dates are in the diary from the first day, most clients keep them. When they are not, the course turns into single visits with long gaps in between.

Book the course as one standing booking

At the desk, set the rule once — weekly, fortnightly or monthly, and how many times — and every visit of the course lands in the diary as its own booking, each with its own reminder. A week that clashes with a holiday or a day off is reported, never forced on top of something else.

Each visit is still a booking of its own. A client who needs to move one visit moves just that one from their link, and the rest of the course stays put. That matters: the most common reason a course stops is that one missed date made all the later ones feel optional.

Put the last visit of the course in the diary on the first day. Clients keep dates they can see.

Ask the questions before the first visit

Write your consent form in your own words and attach it to the services that need it. The client signs it with their typed name on their own phone when they book online, and a copy is kept with each signature, so you know which text they agreed to.

Contraindications have their own field on the client’s card, and the field is shown on every visit, so whoever starts the procedure sees it before they begin — not in a note three screens away.

Keep the course visible

  • Before and after photos attached to each visit, so the next one starts from the last picture.
  • Notes on each visit, kept with the client’s history, and each master limited to their own clients if you set record scope to “Own only”.
  • Consumables — blades, dressings, tampons — listed on each service and taken off stock at checkout.

The consumables line is the one owners notice later. When each service lists what it uses, the stock count at the end of the month is real, and you know what a visit actually costs you — not what you guessed it cost when you set the price.

After the course

Give the maintenance service a return interval, and at the last checkout of the course the next visit is offered with the first free slot already found. The client who finished the course is the one most likely to come back; asking at the desk is easier than finding them again in six months.

What this is not

Setvos keeps notes, photos, a contraindications field and signed consent for your own work. It is not a medical records system and it makes no diagnosis. If your practice is licensed as a medical one, it will need records software of that kind as well.
