Reports · How-to

Build a dashboard

Put the numbers you check every day on one page, choose how each is shown, and look at any period in one click.

  1. 01

    Create a dashboard

Open Reports. On “Dashboards”, press “New dashboard”, type a “Name” and confirm with “New dashboard”. “New dashboard” is there for roles that may create in Reports; adding and changing widgets and renaming a dashboard need a role that may edit there.

  2. 02

    Add a widget

Press “Add widget”. Choose the “Metric”, then how to split it under “Group by”, for example by “Time”, “Staff”, “Service” or “Place”, or “No grouping (one total)”. The choices depend on the metric, and “Time” splits it by month.

  3. 03

    Choose how it looks

Under “Chart”, pick “Bars”, “Line”, “Area”, “Stacked bars”, “Donut” or “Single number”. Give it a “Title”, or leave it empty to use the metric’s name, and press “Add”.

  4. 04

    Pick the period

The first select shows which dashboard is open; the one beside it sets the period for every widget at once, from “Last 7 days” to “Year to date”. When you come back to the page it starts at “Last 30 days” again.

  5. 05

    Compare with the period before

A “Single number” widget shows the total and, under it, the change in percent against the period of the same length just before. If that earlier period had nothing, no change is shown.

  6. 06

See the numbers behind a chart

Press “Table” on a chart to see its numbers as a table, and “Chart” to go back.

  7. 07

    Change or tidy up

The ⋯ menu on a widget has “Edit widget” and “Remove widget”; removing takes the widget off at once. The ⋯ menu beside “Add widget” has “Rename dashboard” and “Delete dashboard”. Deleting asks first and has you type the dashboard’s name, because it cannot be undone: its widgets and its scheduled emails go with it, while saved reports stay.

  8. 08

    Share it

Dashboards you create here are visible to everyone in your workspace who can open Reports, and the page address opens the dashboard you are looking at, so you can send it to a colleague.

Common questions

Which metrics can I use?

Bookings offers revenue, appointments, no-show and cancellation rates, average ticket, bookings by channel, idle gaps, rebooking rate, booked before leaving and utilisation of the rota. “Rebooking rate” counts visits followed by any later visit within 45 days; “Booked before leaving” is the share of visits checked out at the till, with a named client, whose next visit was booked there with “Book the next visit”, even if it was cancelled later. Both can be grouped by “Staff” or “Place”. Invoices offers revenue, invoices and outstanding; Deals pipeline value, won value, deals and win rate; Contacts new contacts; Support tickets and time to resolve.

Why does a widget show a warning instead of numbers?

It says why in its place. Usually your role cannot see the module the widget counts, or that module has been switched off. Once that is sorted, press “Try again”.

Can I see dashboards on the phone?

Yes: Reports opens on Dashboards. Choose a dashboard and a range — the last 7, 30 or 90 days, or month, quarter or year to date. Each widget shows its chart with a legend and a table, and a single number shows its change against the previous period. Money is shown per currency, never added together: a figure in another currency appears under the chart, and tapping it shows the widget in that currency. A widget that fails shows “Try again” on its own.
