Reports · How-to

Build and save a report

Count or add up your deals, tickets, invoices or contacts, group them, and save the chart to open again or email on a schedule.

  1. 01

    Start a new report

Open Reports, choose “Saved reports” and press “New report”. The button is there for roles that may create in Reports.

  2. 02

Name it and pick the look

Type a “Report name”. Under “Report type”, choose “Bar chart”, “Line chart” or “Table”. A chart has a “Table” button that shows the same numbers as a table, and a table has a “Chart” button that draws them.

  3. 03

    Choose what to count

Under “Data source”, choose “Deals”, “Tickets”, “Invoices” or “Contacts”. Under “Measure”, choose “Count”, or for deals and invoices “Sum of amount” to add up their value. “Invoices” counts invoices and till sales, not quotes or credit notes, and “Contacts” leaves out clients merged into another card. The report counts only the records your role lets you see.

  4. 04

    Group it

Under “Group by”, choose how to split the result. Deals can be grouped by stage, owner, status or month; tickets by status, priority, assignee or month; invoices by status or month; contacts by source, owner or month. Groupings other than month show the 20 largest groups.

  5. 05

    Choose the period

Under “Date range”, choose “Last 30 days”, “Last 90 days”, “This quarter”, “This year” or “All time”. Records are counted by the date they were created.

  6. 06

    Check and save

The “Preview” updates as you change the settings. If it cannot be drawn, for example because your role cannot view the data source you picked, it says why, with “Try again”. When it shows what you want, press “Save report”; the report opens on its own page.

Common questions

Can I build dashboards and reports on the phone?

Yes. Create, rename or delete a dashboard (deleting asks you to type its name); add a widget step by step — up to four metrics, a grouping, the step, up to eight filters, the chart, a comparison and a limit — with a live preview, then edit or remove it. Saved reports are built and run the same way. On an iPad the definition sits beside a live chart.
